Create and manage Welcome Pages

The Welcome page is the initial landing page that appears when you open Panviva Viewer A user role with read-only access to Panviva documents who can also submit feedback.. It is a customizable communication space for sharing key updates, links, and resources with your team. Only users with the Author role can create or modify Welcome Pages.

Purpose of Welcome Pages

Welcome Pages are used to communicate:

  • Important changes or updates to procedures, processes or policies

  • Icons with links to commonly used content

  • Announcements of new online training

  • General or team specific information

Panviva users can click Home panviva home icon any time to return to their Welcome page.

Welcome page content

Typically Welcome pages contain a few elements that help users quickly access often-used information.

They are:

  • Corporate, LOB or department logo.
  • Icon dashboard linking to key documents or tools.
  • News or updates for time-sensitive or high-visibility communications.

    Example:  

    1. Corporate events
    2. Anticipated increase in call volume

    3. New or updated policies

Default vs. Customized Welcome Pages

The default Welcome Page that comes with the Panviva software is generic and contains no specific information for your organization.

Customize Welcome Pages

Your organization probably has many departments. If so, it's a good idea to customize s specific to your user groups. This allows users to see information relevant to their needs.

Design Considerations

Before creating a Welcome Page, define its layout and appearance as follows:

  • What color scheme do you want to use?

  • What icons or images will be useful for guiding your users to important content?

  • Do you want a "News of the Day" section for alerting users of new information, updates, corporate news, etc?

Customized Welcome Pages can also have a specific title, such as Agent Updates, Member Services Home or Claims Services Home.

Tools and resources

  • Quicklinks Grid: Provides you with some great design capabilities such as, inserting images to creating background and text colors.
  • Icons: Are a great way to add visual navigation to your page. You can use PowerPoint Icons and color them to match your corporate brand. There are also plenty of websites offering free icons, such as https://icons8.com/, https://www.flaticon.com/free-icons/free
  • Templates: Panviva has a number of free templates in the Upland Panviva Community. Feel free to browse around and download the template of your choice.
  • Windows Emoji Panel: Add visual interest using emojis. Press Windows key + . (period) or Windows key + ; (semicolon) to insert emojis directly into your content.

  • PowerPoint:Use MS PowerPoint to create banners, flows, or other design elements. Right-click and Save as Picture to convert it to an image so you can import it into Panviva.
  • Canva: Provides an easy way to create and maintain large image maps for banners, navigation links, and other visual elements. It can also help you create custom icons and pictures.

    Note: Some elements are only available on the paid version.

  • Marketing Team: Collaborate with your marketing team for branded visuals, color palettes, and icons.

Best practices for Welcome Page design

Optimize Layout

  • Avoid scrollbars: Design for single-screen viewing

  • Use compact logos: Reduce logo size to 10-15% of header space

  • Use collapsible sections for secondary information

  • Implement efficient layouts using Quicklinks Grid to enhance user navigation

  • Optimize Images and Image Maps: To ensure images and image maps fit within the screen layout without scrollbars, use the following maximum dimensions based on the page layout:

    • 1/3 screen view: 371px wide × 440px high

    • 2/3 screen view: 675px wide × 815px high

    • Full screen view: 1885px wide × 805px high

Communications/News Section

Feature a section dedicated to the latest news and updates to keep users informed. This section is distinct from document change notifications.

  • Include a clear and easily accessible link for important announcements.

  • Limit this section to the latest three items, with an optional link to archived news for users seeking older information.

Feedback Collection

  • Actively gather feedback from users on:

    • Accessibility of information within 1 or 2 clicks.

    • Overall ease of use.

    • Desired features or items to remove from the document.

  • Use Analytics reports to analyze user interaction data for additional insights into how the welcome document is being used.

    Welcome Page updates

    When a user logs on to Viewer, the latest published version of their displays. When the page is updated by an author, Panviva checks for changes to the Welcome Page(s) every 10-15 seconds. The users are alerted via a notification window.

    If the user does not view the changes at that time, an icon flashes in the system tray until the user accesses the .
