Create workflow

Manager An Admin user who can manage and assign feedback, workflows, document, images etc. users in the Workflow Documents accessed from a review or approve list in the Folder view. managers role can create a new review/approve Workflow for Panviva documents.

Create new workflow

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Workflow.

    The Workflow Management window displays.

  3. Click More More menu .

  4. Select New workflow.

    The Add window displays.

  5. Type the workflow name in the Workflow name field.

  6. Click Save.

    The workflow displays.

  7. Choose the next step:

Add Required reviewer

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Workflow.

    The Workflow Management window displays.

  3. Select Details & Actions > Required reviewers.

  4. Choose the next step:

    User(s) 

    1. Click Add user(s).

      The User selector window displays.

    2. Select a user.

      The selected user displays in the Your selections pane.

    1. Click Add user(s).

    Role 

    1. ClickAdd role(s).

      The Role selector window displays.

    2. Select a role.

      The selected role displays in the Your selections pane.

    1. Click Add role(s).

The selected users or roles display.

Add minimum required reviewers

If you have selected a role as a Required Reviewer, you can set a minimum number of reviewers (from within the role) who are required to review the document.

In the Minimum required column:

  1. Select the cell.

  2. Click Navigate forward through the search results .

  3. Select the minimum number of reviewers.

    Note: You can select: 

    • All users

    • A minimum of one; or

    • A maximum of five.

    The number shown is not the number of persons in the role, only a maximum number required if 'All users' is not selected.

Set order of review (required reviewers)

  1. Select Follow set order.

  2. To re-arrange the order, click the arrows in the Action column.

Add reminders (required reviewers)

  1. Complete the following field, as required:

    Field

    Send reminder every 

    • Select the check box.

    • Select the number of days.

      Note: Reminders will be sent every 'x' number of days until the reviewer completes the document review.    The maximum number of days you can set is 5.   

      Note: You can override this number when assigning the workflow to documents or folders.

 

Add Optional reviewer

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Workflow.

    The Workflow Management window displays.

  3. Select Details & Actions > Optional reviewers.

  4. Choose the next step:

  1. Click Add user(s).

    The User selector window displays.

  2. Select a user.

    The selected user displays in the Your selections pane.

  1. Click Add user(s).

Role 

  1. Click Add role(s).

    The Role selector window displays.

  2. Select a role.

    The selected role displays in the Your selections pane.

  1. Click Add role(s).

The selected users or roles display.

Add Required approver

  1. Open Panviva Manager.

    The Document Management window displays.

  2. Click Workflow.

    The Workflow Management window displays.

  3. Select Details & Actions > Required approvers.

  4. Choose the next step:

  2. Select a user.

    The selected user displays in the Your selections pane.

  3. Click Add user(s).
