About Outlook Public Folders
Public folder profiles are an alternative to using local profiles to provide a set of messaging options to Upland AccuRoute users. Public folder profiles reside in public folders on the Exchange Server. You can create as many public folder profiles as are needed to meet the needs of your company or organization. The options you add to each public folder profile show up in the drop-down lists on the Send Form Options tab when a user creates a new fax.
Each public folder profile is a message stored in a sub folder under a main (root) public folder created in Exchange to store public folder profiles. There must be one sub folder for every profile, and all sub folders must be stored under the root folder. You can control access to each profile using the access controls available in Exchange for public folders.
To ensure that the Send Form knows where in the Exchange public folders to look for the public folder profiles, you need to create a root public folder before you publish the forms. The procedure for publishing the forms from the Administrator includes a step in which you must specify the root folder for the public folder profiles. If you published the forms before creating the root profile folder, republish them after creating the root folder. After you publish the forms you can use the Public Folder Profile Management tool provided to create the public folder profiles.
Public folder profiles can be used by any user who uses Microsoft Outlook to create faxes. Users do not need additional software installed on their desktop to use public folder profiles. Users can choose the public folder profile they want to use from the Profile tab on the Send Form.
Setting Up Public Folder Profiles
Public folder profiles are stored in Exchange public folders. Before you publish the AccuRoute forms for Outlook, you need to create a root folder in which all of the profiles will be stored. Each profile is stored in a subfolder beneath the root folder. After you have created the root folder, you can publish the Outlook forms.
When the public folders are set up, you can create the profiles in two ways. First, a tool is provided with AccuRoute that you can use to create and manage public folder profiles. The tool is an Outlook form that you can open and use to create new public folder profiles, including the subfolders to store them in, and add or remove options from the profiles. The second method to create public folder profiles is to create them manually in Outlook by typing options into a message and storing it in the public folders.
Using the PublicFolderProfileAdmin.oft Form
The Public Folder Profile Management form is an Outlook form designed to make creating and managing public folder profiles easier. Using this form you can create public folder profiles, add and remove options from profiles, and delete profiles.
The form is located on the server in the ...\Omtool\OmtoolServer\bin folder (the path may differ if AccuRoute was installed into a non-default location). You can open the form right from the server and perform all public folder profile management tasks. To make the form easier to access in the future, you can publish it locally on your system. For example, you could publish it to a personal forms library. If you are using Outlook 2002 or higher, the form must be published to work.
