Configuring ObjectArchive

Use the following procedures to configure and manage ObjectArchive.

Any properties you specify in the newly created Volume List must also be specified in the Active Volume List.

Note: A license is required for this feature.

  1. Start the Server Administrator.
  2. Expand the Server Administrator and right-click Volume Lists from the drop-down menu. The New Volume List page opens.
  3. Select the destination from one of these options:
    • ObjectArchive
    • FileShare
    • NetDocuments
    • SharePoint
  4. In the Name box, enter an appropriate name.
  5. In the Folder box, the path to the list is listed by default. If you want to change the default path, make the necessary change.

Note: By default 4 GB is allocated for OaVolumes. If the space is less than 4 GB, messages will fail. You can manually configure the value to be greater or equal to 4GB

  1. Next, click Indexing tab to open the Indexing page.
  2. In the Properties to Index section, click Add to open the Index Properties page.
  3. Select from the Property drop box the message properties for indexing. Depending on your environment, some message properties should always be indexed.
  4. Click OK to close the Index Properties page.
  5. Click OK to close the New Volume List page.

 

  1. In the Server Administrator, select Configuration > Groups.
  2. Double click on the group you want to modify (alternatively you may right-click on the group and select Properties). The Group Properties dialog box appears.
  3. Select Clients > Volume Lists.
  4. If necessary, select Enable searching the following Volume Lists for members of this Group.
  5. Select the appropriate Volume List(s) for the group.
  6. Click OK to save the changes.

The selected Volume Lists appear in Archive Search for users that belong to the group.

 

  1. In the Server Administrator, select Configuration > Groups.
  2. Double-click on the group you want to modify (alternatively you may right-click on the group and select Properties). The Group Properties dialog box appears.
  3. Select Clients > Volume Lists.
  4. Select the Volume List to modify.

  5. Click Properties. The Volume List Properties dialog box appears.

  6. Select the Searching tab.

  7. Click Add. The Select Job Property dialog box appears.

  8. Select the Job Property to allow searching for.

  9. Click OK.
  10. Repeat steps 7-9 for any additional Job Properties to search by.
  11. Click OK to save the changes to the Volume Lists searching configuration.
  12. Click OK to save the changes to the group.

The configured job properties are available in the Archive Search > search fields for users that belong to the group.

 

You can configure which columns are displayed in the Volume List results list.

  1. In the Server Administrator, select Configuration > Groups.
  2. Double-click on the group you want to modify (alternatively you may right-click on the group and select Properties). The Group Properties dialog box appears.
  3. Select Clients > Volume Lists.
  4. Select the Volume List to modify.
  5. Click Properties. The Volume Lists Properties dialog box appears.
  6. Select the Searching tab.
  7. Go to the Display the following Job Properties in the result list section.
  8. Click Add. The Select Job Property dialog box appears.
  9. Select the Job Property to allow searching for.
  10. Click OK.
  11. Repeat steps 7-9 for any additional Job Properties to search by.
  12. Click OK to save the changes to the Volume Lists searching configuration.
  13. Click OK to save the changes to the group.

The configured job properties are available in the Archive Search results lists for users that belong to the group.

 

  1. In the Server Administrator, select Configuration > Job Properties.
  2. Double click to open the job property.
  3. Select the Indexing tab.
  4. Select the Volume List.
  5. Click OK.

 

You can move, import, and delete volumes in a volume list.

Volumes and NTI files

Volume lists are used to store documents for archiving purposes. Each volume created has a corresponding NTI file associated with it. The NTI file is a binary file that contains the archived documents sent to the Volume list.

Moving volumes

A new volume is created when you move a volume. All documents and objects from the selected volume are moved to the new volume. Administrators may want to do this when a drive with a volume (*.nti file) is reaching its maximum capacity. The volume can be moved to another drive that has more space.

Note: A folder must exist for the new volume. Create a folder and make a note of the path. You will need the information to complete the following steps.

To move a volume

  1. In the Server Administrator, right-click Volume Lists. The Properties shortcut menu appears.

  2. Select Properties. The Volume Lists Properties dialog box appears.

  3. Select the Servers tab.

  4. Select the appropriate server.

  5. Select the Properties button.

  6. Select the Volumes tab.

  7. Select the appropriate volume.

  8. Select the Move button. The Volume Move dialog box appears.

  1. Specify the path and folder name in the Folder box.

  2. Select OK on the Volume Move dialog box.

  3. Select OK on the ObjectArchive Server Properties dialog box.

  4. Select OK on the Volume List Properties dialog box.

Importing volumes

You can import a volume into another volume. You will need to know the path and volume NTI filename you want to import to in order to complete the following steps.

To import a volume

  1. In the Server Administrator, right-click Volume Lists. The Properties shortcut menu appears.

  2. Select Properties. The Volume Lists Properties dialog box appears.

  3. Select the Servers tab.

  4. Select the appropriate server.

  5. Select the Properties button.

  6. Select the Volumes tab.

  7. Select the appropriate volume.

  8. Select the Import button. The Import Volume into Object Archive dialog box appears

  1. Specify the path and NTI filename you want to import to.

  2. Select the appropriate volume list on the Volume List drop down list.

  3. Select Import.

The following message is displayed if the path and/or filename are incorrect.

  1. Select OK on the ObjectArchive Server Properties dialog box.

  2. Select OK on the Volume Lists Properties dialog box.

Deleting volumes

You can only delete volumes that are empty. You will receive an error message if you attempt to delete a volume with data.

Note: Use caution when deleting volumes. You will not receive any confirmation before deleting.

To delete a volume

  1. In the Server Administrator, right-click Volume Lists. The Properties shortcut menu appears.

  2. Select Properties. The Volume Lists Properties dialog box appears.

  3. Select the Servers tab.

  4. Select the appropriate server.

  5. Select the Properties button.

  6. Select the Volumes tab.

  7. Find the appropriate volume with a zero object count.

Tip: On the Object Archive Server Properties dialog box, drag the horizontal scroll bar to the right until you can see the Object Count column.

  1. Select the volume with a zero object count.

  1. Select the Delete button. No confirmation message of the delete action is displayed. The deleted volume will remain in the list until you complete the following steps.

  2. Select OK on the ObjectArchive Server Properties dialog box.

  3. Select OK on the Volume List Properties dialog box.

Tip: You can select Volume Lists in the Server Administrator to go back to Volumes to confirm that the volume has been deleted.

The following message is displayed if you attempt to delete a volume with data.

Note: Your actual volume name will appear in the message.

Contact Technical Support for ObjectArchive data retrieval if necessary.

 

In order to configure the server to route to Volume Lists, create the ObjectArchive connector.

  1. On the Start menu, click Upland AccuRoute > Upland AccuRoute Server Administrator..
  2. Expand the Server Administrator tree and right-click Connectors.
  3. Select New Upland AccuRoute Server connector for > Volume List.
  4. Click Next. The Server Address page opens.
  5. Click Next. The Display Name page opens.
  6. In the Name box, enter OBJECTARCHIVE.
  7. Click Next. The Select Volume List page opens.
  8. Select the Volume List from the list and click Next and then Finish.

Volume List configuration is complete and the Volume list connector is listed in the Connectors details pane. Users can use this connector to route documents for archiving.

 

  1. Click Start > All Programs > Control Panel > Add/Remove Programs.
  2. Select the Upland AccuRoute Server and click Change. You are prompted to confirm that you want to delete the selection.

Note: Always select Change and not the Remove option. This is specially relevant if you have other components installed on your system. If you select the Remove option, it will remove all components and not just ObjectArchive.

  1. Click Yes to continue.
