Organise your data

Folders are a convenient way of organizing data to streamline navigation and make it easier to find files and objects.

Use the organise menu to:

At any time after creating a folder, you can:

Best practice: create objects within folders below the Root Folder rather than directly in the Root Folder, otherwise the number of objects in the Root Folder will quickly become unmanageable.

Example: create a folder beneath the root folder for all of your analysis elements.

When creating analysis elements, select this folder to keep everything in one place.

You could also create sub-folders for different analysis types if you have many analysis elements.

Tip: objects created prior to the folder can be added to the folder by dragging the item from its existing folder and dropping it into the new folder.

Creating a folder

To create a folder:

  1. Press the + icon in the Navigation Pane to open the Create window.

  2. Select the Organise option.

  3. In the creation window, enter a name for your folder, e.g. Labels.

  4. Add a description if needed.

  5. Select a location for the folder.

  6. Press the Save button.

Alternative methods

From the folder tree:

  1. Navigate to the menu/folder in which the new folder is to be created and right-click to open a dropdown.

  2. The Add new option will open the New Folder creation window with the Location dropdown pre-populated with the right-clicked folder.

Viewing folder properties

To view a folder's properties:

  1. Right-click on the folder.

  2. Select Properties from the right-click menu to open a Folder Properties window.

Sharing a folder

All new folders and objects are created as private except to administrators, who will typically have access to everything.

When you create a folder or object you wish to share with others:

  1. Right-click on the folder/object.

  2. Select the Share with option.

  3. On the security tab, press the Add button.

  4. Select or search for a user to share the folder with.

  5. Press the Add button.

    The Shared With table will update to show the users with shared access.

Note: when sharing a folder, anything that exists inside that folder inherits the share properties.

If you want to revoke sharing, immediately preventing access for others:

  1. Right-click on the folder/object.

  2. Select the Share with option.

  3. On the security tab, select a user to remove from sharing.

  4. Press the Remove button.

Deleting a folder

Note: when deleting a folder all of its contents will also be deleted.

If you want to remove a folder:

  1. Right-click on the folder/object.

  2. Select the Delete option.

  3. Confirm you wish to delete the folder and all of its contents.
