Receiving Approval Requests

Approval requests are sent for checking to either an individual or an approval group, it contains an approval form and campaign. Those receiving the request must check through the campaign and complete the form by approving or rejecting it.

This gives you the chance to preview a campaign before it is launched, ensuring any necessary requirements are met and that only accurate and effective emails are sent out.

Receiving a Request

You will receive a request via email, with the subject line tagged as [Approval]. The email itself will display as it would to a potential recipient and include a link to the approval form at the end.

If you have been given a password as an approval user, you will be prompted to enter this before accessing the approval request form.

Approval Request Form

Clicking the link will open the approval form in a new window, this will display the basic campaign details and options for your response. If the campaign includes a filter the form will display a link to the Adestra 'Data' page, this allows approval users to view the filter details.

An approval will put the campaign forward for launching and a rejection will cancel the process for amendments. There may be a set number of approvals needed for launch although it only takes one rejection to cancel the process.

Within the form you have the option to 'Preview HTML' and 'Preview Text' versions of the campaign, this can be useful if you are unable to view either in your email client.

Below this is where you can enter your response either approving or rejecting the request. If you reject a request you are required to provide an explanation in the text box, however this is optional when a request is approved.

Choosing to Approve

Selecting approve will display 'This campaign has been approved' in a green notification banner at the top of the form. You are able to change an approval to rejection or add further notes using the 'Add Response' button.

If set to do so, you can receive email confirmation once the required number of approvals has been met and the campaign is set for launch. The notification email will display [Approved] in the subject line and as before will contain a link where you can reject and cancel the campaign any time before it is launched.

If a campaign is set to launch automatically once approved, you will have 15 minutes to cancel the launch. However once the campaign has launched, the approval request will be closed and responses can no longer be made.

Choosing to Reject

If you reject a request, the approval request form will display 'This campaign has been rejected' in a red notification banner at the top of the form.

You can not change a response once you have entered a rejection, you can only go back to add notes. Changing a rejection will simply show as an additional response, it will not change the banner and the campaign owner will still be required to start the approval process again.

If the request is closed before you respond, when you click to open the request form you will be directed to a page displaying the message: 'There is no longer an open approval request for this campaign.'

Receiving Split Test Approvals

Split Test approvals work the same as other approval launches, however a user will receive an email for each variant in the test.

When accepting or rejecting the split test approval, the form will display all variants (from which you can preview HTML and/or Text parts) and you will be accepting or rejecting the whole split test campaign.
