Payment Readiness

A speedier Payment Readiness workflow — The Payment Readiness improvements provide a consolidated and holistic overview of all Accounts and Invoices across the vendor landscape. Easily view the status of all invoices, define amounts to be paid, reconcile variances and confirm amounts to be paid. If you mistakenly confirm a record, you can now unconfirm it.

Note: You can only unconfirm a record before you commit it to an AP file.

Easily see the payment an invoice is related to—the Payment Overview in the Payment Readiness module has a new summary box which will show you the main details of an invoice and the corresponding payment; for example you can see the payment’s ID and the date it was sent.

Compare your amounts due and current charges in the Payment Readiness module. Now when you look at your charges breakdown, you can toggle between Amount Due and Current tabs, so you can easily see a direct comparison of the two in the Variance row.

Click Regenerate to save account information at that point in time, then regenerate the data in the grid with account information for your latest invoicing period—so you can see changes to the account reflected immediately.

Invoice Lifecycle Report

The Invoice Lifecycle Report lets you track how quickly your invoices are being processed compared to your late threshold. It shows when an invoice was added to Cimpl, when it was due, and whether the late threshold was exceeded. Even if the invoice is running late and hasn't been added to Cimpl yet, you can still report on it; the report even includes any comments which have been added to explain why an invoice is late. Once AP information has been attached to an invoice, it will also be listed here.

A more precise way to track the lateness of invoices—we added the field Days late threshold to your Providers, so you can see when an invoice a) is late and b) has exceeded your days late threshold. This could be useful if, for example, you want to offer a grace period before an invoice is considered late. You can see how many days an invoice has exceeded the days late threshold by in the brand new Invoice Lifecycle Report.

AP Posting

Save time when managing your AP files—you can now approve or reject AP files directly from the AP Posting Module, so you no longer need to navigate to the Request Center. When you reject a file in the AP posting module, you’ll simply need to add a comment explaining why.

Reverse Accounts Payable Feed Processing: The Reverse AP Processing Feature provides full invoice lifecycle information within a single view allowing for easy access to all aspects of an invoice from receipt processing to vendor payment.

Changes

  • Export the data from the Payment Readiness grid so you can manage it in an external application.

  • Automatically share data between the Quotation Module and the Workorder Module. If you add data in the Quotation Module, it will now be automatically included in the corresponding spot in the Workorder Module.

  • An extra layer of validation when generating AP files—now, when you create a new AP file, we'll compare it with the Advanced Analysis module for the Provider and Invoice period you selected. If there are errors, you'll get a notification so you can resolve them, and if there are no errors you'll be able to generate the AP file as normal.

  • Manage your Accounts and Billing Accounts from one location in the Configuration module. We consolidated Accounts and Billing Accounts; you can access both from Configuration > Assets > Accounts.

  • More intuitive navigation—we grouped the Billing Center menu options into the Reconciliation and Invoices sections, so they're more logically grouped according to typical workflows.

  • See exactly how accounts are related to each other—parent and child accounts are now grouped together in the Payment Readiness module. Child accounts are listed under their parent accounts; simply click an account name to see all of its connected services.
