Task Notifications

This document provides an overview of the different types of task notifications received in Microsoft Teams.

Enabling Notifications

To learn about how to turn On the notifications, refer to General Tab Settings.

Types of Notifications

The following notifications can be received in Microsoft Teams:

Task Assigned

Users will receive this notification when a task is assigned to them. The notification appears in Microsoft Teams as follows:

  • Notification: You have been assigned a task.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task is Ready

Users will receive this notification when the dependency through a task rule has been met and the task is ready to be worked on. The notification appears in Microsoft Teams as follows:

  • Notification: The task is ready.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Completed

Users will receive this notification when tasks assigned to them are completed. The notification appears in Microsoft Teams as follows:

  • Notification: The task is completed.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Completion Date: Displays the date and time when the task was completed.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Updated

Users will receive this notification when the task title is updated. The notification appears in Microsoft Teams as follows:

  • Notification: The task is updated.

  • New Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Unassigned

Users will receive this notification when the user is unassigned from a task. The notification appears in Microsoft Teams as follows:

  • Notification: You are no longer assigned to this task.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Reopened

Users will receive this notification when the task assigned to them has been reopened. The notification appears in Microsoft Teams as follows:

  • Notification: The task has been reopened by [username].

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Overdue

Overdue notification is sent only for tasks assigned to the user, where the deadline has passed within the last 24 hours. Notifications will not be sent daily for all overdue tasks up to the current date. The notification appears in Microsoft Teams as follows:

  • Notification: The task is overdue.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the task deadline, including the date and time.

  • Days Overdue: Displays the number of days the task has been overdue.

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Task Deadline Updated

Users will receive this notification when the deadline for their assigned task is updated. The notification appears in Microsoft Teams as follows:

  • Notification: The deadline for this task has been updated.

  • Task Name: Displays the title of the task.

  • Description: Displays the task description.

  • Due Date: Displays the updated task deadline, including the date and time. If the deadline is removed, it displays "The deadline has been removed."

  • Content/Initiative: Displays the title of the content or initiative to which the task belongs.

Note: Upon clicking the task name or content/initiative title in Microsoft Teams notification, content/initiative details page opens in a web browser.
