Working with Projects

In PSA, a project is used to organize all tasks to be completed for a specific client. A project is always associated with a particular client, and every task performed is grouped by project.

Each project consists of the tasks that need to be completed to move a project from the initial stages to completion. All actuals (time, expenses, charges etc.) are tracked at the project level to facilitate revenue recognition and time reporting.

  • Time entries + Expense entries + Purchase entries + Requisition entries + Charge entries = Tasks
  • Task1 + Task 2 + Task 3 = Project for Client(s)

All time and expense entries are entered at the task level and are tracked by project. The tracking process eventually filters back to the original client of the project. Budget tracking can also be set up at the project level by entering the budgeted and estimated amounts for the project. When the time entries are entered in the system, the application calculates the actual cost and billable sums for the project. Many configuration options are available at the project level. Most of the options that can be configured for the client are the same as those for project setup.

The cost, billable and expense rules can be configured for projects. The limits can be set at the client, project, task and work type level. When rules are defined at several levels, precedence rules are applied. For further details refer to Rate Precedence Rule.

By defining the scope (location) of a project, project lists are also filtered to allow only the users associated with the location to view the projects, blocking visibility and access to projects associated with other locations.
