Budget Import Fields and Functionality
The Excel Import Template is automatically populated with all the selected projects and their corresponding tasks and assignments with the selected budget types, as well as the expense, charge and product items. If no options are selected in the Budget Options section of the Import Template Options page when downloading the Excel Import Template, the template is created with the default columns.
The default columns used to create the projects, tasks and assignment budgets in an Excel Import Template are indicated by an asterisk (*) in the Budget Excel Import Template Fields table.
Note: To ensure optimal performance and minimize the risk of timeouts or errors, it is recommended that Budget Import file be limited to 200 rows or fewer. If your dataset exceeds this, consider splitting the file into smaller batches before importing.
Caution: Importing multiple Baselines through the Budget Import functionality is not currently supported. If your Budget Import Template includes Baseline values, these will overwrite any existing baselines and automatically become the Active Baseline. As a result, all previously stored baselines will be deleted during the import process, and the imported baseline will be set as the new Active Baseline by default.
From the Import Template Options page, you can perform the following:
- Define a single budget per Excel line
- Define multiple budgets per project, task or assignment
- Delete the Excel lines of projects, tasks or assignments for which they do not want to import budgets
- Add the Excel lines of projects, tasks or assignments for which they want to import budgets
- Add new columns for items that they want to create budgets, as long as the new columns comply with the naming convention used by the system to process the requests.
Depending on the fields defined in the Excel Import Template, the budget is imported as:
- Project Budget: project name is defined but task and user name are not defined
- Task Budget: project and task name are defined but the user name is not defined
- Assignment Budget: project, task and user name (first and last) are defined
A budget import failure can occur when the fields are defined as follows:
- Project and task name are defined but only the user first or last name is defined
- Project and user name are defined but task name is not defined
- Only the user name is defined
Note: Budget imports also fail if the project, task or assignment specified does not exist. If duplicate project, task, expense item, charge item or product item names exist, the system assumes that it refers to the first one encountered (based on unique id).
