Dropdown lists

You can create custom values for select dropdown menus, organize them in the in the order you would like them to display to users, and choose one to be the default value if the user does not make a selection. The dropdown lists include:

  • Answer Status: Displays on the RFP Project grid in created documents.
  • Project Status: Displays on the Projects grid in projects and created documents.
  • Salutations: Displays in the New User or Edit Properties dialog box, opened from the Admin > Users & Roles > Users page.
  • Expiration Time Frames: Displays the Expires and Time Frame drop down fields on library content pages.
  • General Feedback Closure Reason: Displays on the Close Feedback dialog for General feedback.
  • Feedback Type: Displays on the New General Feedback dialog.
  • Content Feedback Closure Reason: Displays on the Close Feedback dialog for Content Feedback.
  • Content Feedback Type: Displays on the New Content Feedback dialog.

From the Administration > Application Data > Dropdown Lists page, you can add, edit, delete and reorder dropdown values from the list above. The character limit for the custom values that can be added to the dropdown menus displays next to each dropdown type in parenthesis. You can manage the values for the dropdown lists created for custom meta data items from the Administration > Application Data > Custom Metadata page.

Note: If a dropdown value is in use, you will not be able to delete it. A message will display warning you of this instance.

View dropdown values

  • Select the Dropdown Type from the list to view the dropdown values in the right panel.

Add a new dropdown value

  1. Select the Dropdown Type to which you want to add a new dropdown value.
  2. Click the + icon. The "Add Dropdown Values" area will appear.
  3. Enter the dropdown value text. The text limit for that particular dropdown type will be displayed.
  4. Click the Blue Checkmark Blue checkmark icon icon to add the new dropdown value or X to cancel.

Edit a dropdown value

  1. Hover over the dropdown value you would like to edit and click the Edit Edit icon icon.
  2. Edit the dropdown value text as desired.
  3. Click the Blue Checkmark Blue checkmark icon icon to save the changes or X to cancel.

Make a dropdown value the default

  1. Hover over the desired dropdown value and click the More Options More Options menu menu.
  2. Select Make Default from the dropdown menu. A small Blue Checkmark Blue checkmark icon icon will appear next to the default dropdown value.

Delete a dropdown value

You can delete one or more dropdown values at the same time.

  • To delete a single value: Hover over the desired value and click the Delete Delete icon icon.
  • To delete multiple values: Select the desired value checkboxes, click the More Options menu at the top of the page, and select Delete.
  • To delete all values: Click the More Options menu at the top of the page, select Select All, and select Delete.

Reorder dropdown values

Use one of the following methods to reorder the dropdown values: 

  • Select the dropdown value(s) and drag and drop them into the desired position.
  • Hover over the desired dropdown value, click the More Options More Options menu menu, and select Move Up, Move Down, Move to Top, or Move to Bottom from the dropdown menu.
  • Select the checkbox(es) of the desired dropdown value(s), click the More Options menu at the top of the grid, and select Move Up, Move Down, Move to Top, or Move to Bottom from the dropdown menu.
