Qvidian Single Edit toolbar

The Qvidian Single Edit Add-in toolbar is used to add and edit Word, PowerPoint and Excel content for: library records and static content subsection components. Using the application’s functions, you can add or edit content. You can also use the toolbar's "Tools" menu to insert a merge code, select a style template, or delete temporary content. Unless otherwise noted, all functions are available in each application.

Save to Qvidian

This button is used to save the markings and other functions performed.

  • Click Save to Qvidian after the document has been completed. The Upland Qvidian login page may display. The Submit Content dialog box displays where you can add details to the content before submitting the content to the specified folder.

Note: If you have used the Select Server function (from the toolbar's "Help" menu) to save the document to a different Upland Qvidian Server, the login page for that Qvidian will display.

Properties

  • Click to display the content properties dialog for the current content record. For more information, see Content Record Properties.

Tools Menu

Insert Field (Word & Excel)

  1. Click in the document where you want to insert a merge code, then click Insert Field to display the "Insert Merge Code" dialog.
  2. Select one or more merge codes and click Select.

Select Style Template (Word)

  • Click Select Style Template and select a style template to format Word and PowerPoint content.

Note: A style template is associated with the documents to which you apply. To modify a template, ensure a copy of the template file is in Word's templates folder. Navigate to File > Options > Advanced > Templates > File Locations and click Modify. If the template file name is not the same as the style template associated with the document in Qvidian, Word will not display the toolbars to modify.

Replace

On the grid, double-click to open the content record on which you want to perform the Find and Replace function. If you select a content record that is different than the one currently opened, you may be asked to save the current content record if modifications were made.

  • From the Tools menu, select Replace to display Word's Find and Replace dialog. The application's find and replace dialog displays. When completed, click Close on the Find and Replace dialog. If modifications have been made, you will need to save the changes to the content record.

Delete Temporary Content

When Upland Qvidian performs an upload or any editing functions, temporary content files are created. You may want to periodically remove these files to free up disk space.

  • Click to delete temporary content files.

Cancel

Use this function to cancel the editing of the currently selected job. You are returned to the library content records list/grid and no edits are made to the content record. However, if there are content records still remaining for the job, you can minimize the library and return to work on the Qvidian Toolbar with the remaining content records.

Editing Jobs

  • Toggle the Job Manager page open and closed. If you have one or more jobs displaying on the Job Manager page you can work with these jobs.

Note: When exporting or downloading library content and then switching to work on a job, the Export or Download function will be aborted as soon as you perform an Open, Save, or Cancel for a content record on the Job Manager grid.

Help

Select Server

This function is provided for users who use different Upland Qvidian databases on different servers to manage content. It allows you to save the presentation to a specific server running Upland Qvidian.

  1. On the toolbar, click Help then select Select Server to display the Default Qvidian Server page.
  2. Select the Qvidian Server. If the Qvidian Server URL is not listed, click in the field and type in the server's URL, verifying that http:// precedes the URL and a single slash - / ends the URL.

Change Login

  1. On the toolbar, click Help then select Change Login to display the Upland Qvidian login page.

Note: If you need additional assistance in the Upland Qvidian Login page, click Directions.

  1. Enter your user name and password. If logging in as a different user, make sure this user has a user account which is enabled in Upland Qvidian.

Note: Once logged in, you will not have to log in again when performing any operation, such as Save to Qvidian, that requires interaction with the Upland Qvidian web application from within this Microsoft Office product (Word, PowerPoint, or Excel) session.

  1. Select the Use single sign-on check box if your organization is using a single sign-on approach, such as Active Directory (ADSI), Siteminder, or Ping to configure your user account in Upland Qvidian.
  2. Select the Remember these settings check box if you want the application to remember either your explicit user name and password, or your single sign-on setting. These settings are remembered from Upland Qvidian session to session unless you log in as a different user or change your login credentials.
  3. When completed, click Login/Set.

Reset Your Login Credentials

  • In the Upland Qvidian Login page, click Clear to reset the User Name and Password to empty, "single sign-on" to off, and close any current server connection. The next time any connection is made to the server, the user will be prompted for their login credentials.
