Import or export users
Import users
If you have a large number of users to create at once, you can put all the user details into an Excel (XLS) spreadsheet and upload it to create users in bulk.
Step 1: Create the import file
-
Export the current users list, then delete its contents—this is the file you’ll put user details into.
-
Fill in the details.
Field Contents Action Enter one of the following actions:
Update: The details of the user with the corresponding username will be updated.
Create: New user accounts will be added.
Delete: The user with the corresponding username will be deleted.
Full Name Enter the user's full name (it doesn't have to be unique). Email Enter the user's email address (formatted like: firstword@secondword.extension). It does not need to be unique. Username Enter a unique username. Password Enter a password. Password should contain at least 8 characters, 1 uppercase letter, 1 lowercase letter, 1 letter (0-9), and 1 special character (for example: !, @, ", etc).
Reports to If the new user should report to another user, enter their username here; this determines what users will see in the Frontline Engagement module. Team leaders can access their whole team's feedback, while team members can only access their own. Learn more about Frontline Engagement.
Projects Enter at least one project name; if you add multiple, separate the project names with a comma.
Profiles Enter at least one profile name; if you add multiple, separate the profile names with a comma. User Info Enter account information for the user, if you have it. User info will differ for all clients; for more details, reach out to the support team or your customer success representative. Learn more about managing user information.
Team Assigned This field is only available to client team administrators. Assign the user to a team by entering an existing team name. Note: The user's User Info Keys must match the restrictions allocated to the team.
Step 2: Import the file
-
From the users list, click Batch import.
-
If you want the users to receive a welcome email, select the Send welcome email to new users checkbox. If you don’t select the checkbox, you can easily send your welcome emails at a later date.
Note: Make sure you format the import file correctly, or it may not work! For more details on correctly formatting the import file, check out the table above.
-
In the File to upload section, click Choose file and find the import file.
-
Click Open.
-
Click Upload file.
-
Click Confirm and commit.
Export users
If you want to manage your user list in an external application, then you may want to export your user list.
-
Use the searchbar and filters to refine the users list down to the specific users you want to export.
-
If you want to export all your users, skip this step.
-
-
Click Export users.
A file called "users.xls" will be downloaded; it contains a list of the users you wanted to export in alphabetical order.
Note: Passwords are not included in the export.
