About CM Profiles
Content Monitor (CM) is a feature that supports Data Loss Protection and Prevention (DLP) with customizable document searching (using CM Profiles) and pre- and post-delivery message review options, including the WebApps User Interface Security Station application.
In order to enable the system to search for documents that meet specific content criteria, System Administrators configure CM Profiles. With appropriate configuration, the system routes messages that match a CM Profile to be reviewed in the Administrator or in the WebApps User Interface's Security Station.
Once the CM Profiles are set up, administrators can assign CM Profile access to specific user groups in the Clients > CM Access section of Group Properties.
Administrators can create specific workflows for users to approve or reject messages sent by users through the system. In Rule Properties, they can customize Rule workflows by adding and configuring a Content Monitor action and related Job properties.
Creating and configuring CM Profiles
To create a new CM Profile
- In the Server Administrator, go to the Configuration node and right-click CM Profiles > New > CM Profile. The Content Monitor Profile Properties dialog box appears.
- Type a Profile ID name, and optionally, a description.
- Select an Action from the drop-down list. When a message is matched to a CM Profile, it can be directed to one of the following actions
- Fail
- Prevention Review
- Detection Review
- Sender Review
- Allow Send
- Go to the Content tab and click Add.
- Define the relevant message content on the Content Criteria Properties dialog box.
- On the General tab, type a description, select a Type (Literal, Regular Expression, or Wildcard), and type the Content of interest in the selected format. Select how often the content must be found to be reported.
- On the Cleanup tab, you can identify actions for the system to apply to messages before reporting a match, such as removing extra spaces. You can also configure custom character translations to be applied before a match can be reported.
- Click OK on the Content Criteria Properties dialog box. When you return to the Content Monitor Profile Properties dialog box, you will see the new content definition added to the list.
- In the Options tab, select whether you want the system to deliver a copy of the document (Never, Always, or Only when rejected). Then select a means of delivery from the drop-down list (Email, Fax, Printer, Queue, or UNC) and enter the appropriate delivery information.
- Optionally, you can also have the document copy
- Delivered as a Zip File
- Include original documents
- Include XML meta-data document
- Click OK to close the Content Monitor Profile Properties screen. The CM Profile appears in the CM Profiles list.
Note: To edit the properties of an existing CM Profile, right-click the appropriate CM profile and select Properties on the shortcut menu.
