About Redaction

The Upland AccuRoute Server, Content Monitor (CM) Component, Profiles, and WebApps join forces in data loss protection and prevention (DLP) with redaction. As an integral part of a company’s DLP strategy, redaction is used to obscure content for legal and security purposes.

Administrators can enable redaction for WebApps Security Station and Content Review users by determining which redaction settings work best for their document workflows.

Description

1. Allow manual redaction of any content check box

Allows Security Station and/or Content Review users to select any redaction content by drawing a box over the content area for all documents submitted for review and approval. A Redact button appears in WebApps for users when this setting is selected.

Note: Redaction boxes cannot span across multiple pages. Several redaction boxes can be used to select content that begins on one page and ends on another.

2. Enable redaction drop-down list

Allows Security Station and/or Content Review users to:

Allow redaction – review preselected redacted content. User can choose to redact or remove the redaction. Click to redact is the default.

Redact – review auto-redacted (obscured) content areas. User cannot choose to remove redaction.

Suggest redaction – review preselected redacted content. User can choose to remove or redact content. Click to remove is the default.

The Profile and Content level redaction settings can be combined to assist Security Station and/or Content Review users during the redaction approval process. For example, Administrators can set manual redaction of any content at the profile level with auto redaction at the content level. In this combined scenario example, users have the ability to manually draw redaction boxes over additional content that may require redaction and review/approve automatically redacted content.

In addition, Security Station and/or Content Review users do not have to select every piece of redacted content on a document. Users must identify and/or select the exceptions, if any. Preselected and manually selected content is automatically saved based on the default settings listed above and what users have selected as redacted content. Documents that are either approved or rejected are submitted with manually, automatically and/or preselected redactions based on the redaction settings. You cannot retrieve a document and modify its redaction content once the document has been approved or rejected.

The redaction process may take awhile after approving or rejecting documents. The following message appears: “Document is being redacted. Please wait.”

Differences between Security Station and Preview

The Redaction functionality is the same for both Security Station and Content Review users. However, there are differences in what each user role can see.

For Security Station users

Security Station – shows a list of redacted documents that need to be reviewed and the content-criteria matches applied to the document. Automatically redacted content; for example, an actual social security number is not shown in the matches table. Security Station users can see all documents submitted to Content Review users.

For Content Review users

Preview – shows a list of redacted documents that need to be reviewed. The content-criteria matches applied to the document are not shown. Content Review users can only see documents specific to their workflows. They cannot see each other's documents submitted for review.

Before you begin

A simple workflow that uses FileScan connector folders will be discussed below and in the Redaction in Action topic. This example is for illustrative purposes only and may not reflect your company’s unique configurations. Any destination or connector can be used for redaction.

You will need the following license, resources, and applications to set up redaction.

You can also use the following resources to view and/or troubleshoot the delivery status or issues related to redacted documents.

Accessing Server Administrator resources

You can access the server resources needed for redaction by using the Server Administrator.

To access Server Administrator resources

  1. Start the Server Administrator.

  2. Expand the Server Administrator tree, if necessary.

  3. Find and select any of the following Server Administrator resources.

    • Components > Content Monitor

    • Connectors > FileScan Connector folders

    • Configuration > CM Profiles

    • Configuration > Groups

    • RuleSets > User

    • Configuration > WebApps

Details; for example, about the Components installed with the server appear in a separate pane known as the Details pane.

  1. Right-click to select a resource in the Details pane. The Properties shortcut menu appears.

  2. Select Properties to view or modify a resource’s properties.
