Creating Notes Profiles
You can create local and group profiles by using the Notes Fax Memo form and Profile database.
For Notes client users
Creating a Notes local profile
You can create a Local profile by using the Notes Fax Memo form.
To create a local profile with the Notes Fax Memo form

In a Notes client, open the Fax Memo form and click Profile in the Action Bar. The Edit Profile page opens.
If the Fax Memo form does not have a Profile option, local profiles are not enabled in Genifax.

To add cover page options to your profile:

Enter the name of a cover page template, without the file extension, in Add new cover page template and click Add item to list.

Repeat step a as needed to add more templates.

Select a template in the Cover pages defined list to define a template as the default for your profile.

Select Always use cover pageif you want the Fax Memo form to default to always using the cover page you defined as the default. You can select a different cover page on a per-message basis.

To add billing code options to your profile:

Enter a billing code in Add new billing code and click Add item to list.

Repeat step a, as needed to add more templates.

Select a code in Billing codes defined to define a template as the default for your profile.

Select Always use billing code if you want the Fax Memo Form to default to always using the billing code you defined as the default. You can select a different billing code on a per-message basis.

To add access code options to your profile:

Enter an access code in Add new access code and click Add item to list.

Repeat step a as needed to add more templates.

Select a code in Access codes defined to define a template as the default for your profile.

Select Always use access code if you want the Fax Memo form to default to always using the access code you defined as the default. You can select a different access code on a per-message basis.

Under Delivery Options, select the options to define the defaults for your profile:

Default to hold for preview before sending - Select this option if you want the form to be held for preview before sending option selected by default each time you use the Fax Memo Form.

Default to hold for approval before sending - Select this option if you want the form to default to having Genifax hold messages until they are approved.

Default to deliver only to secure fax destinations - Select this option if you want the Deliver only to secure fax destinations option selected by default each time you use the Fax Memo Form.

URL for delivery status - Enter the URL (address) of your company's Genifax Web Interface.

Click OK to save your changes.
The next time you open the Fax Memo form to create a fax, the options you defined in your local profile are visible.
For AccuRoute Fax Notes Administrators
Creating a Notes group profile
You can create an Administrator-managed Group profile for Notes user by using the Notes > AccuRoute Fax (Genifax) Profile database.
To create an Administrator-managed Group profile for Notes users

In Notes, open the Fax Profile database.

Click Add Group in the Action Bar.

Under Basics, enter a name for this profile in the Group profile name text box.

Provide a description of this profile in the Description text box, if necessary.

Click the down arrow next to the Members text box and assign users to this profile.

Under Cover Page Templates, select Default to use cover page template if you want the Genifax Memo Form to default to including a cover page with each message. If you select this option, the form defaults to the cover page specified as the default in the following step.

Add the cover page templates you want to be available for the users of this profile:

In the Cover Page templates defined text box, enter the name of a template, without the file extension.

Press Enter to add another template, then enter the next template name.

Click the down arrow next to the Default cover page template text box, select the template you want to be the default. Click OK.

Under PBX Dial Access Codes, select Default to use PBX dial access codes if you want the Genifax Memo Form to default to including an access code with each message. If you select this option, the form defaults to the access code specified as the default in the following step.

Add the access codes you want to be available for the users of this profile:

In the PBX dial access codes defined text box, enter an access code.

Press Enter to add another code, then enter the next dial access code.

Click the down arrow next to the Default PBX dial access code, select the access code you want to be the default. Click OK.

Under illing Codes, add the billing codes you want to be available for the users of this profile:

In the Billing codes defined text box, enter a billing code.

Press Enter to add another template, then enter the next template name.

Click the down arrow next to the Default billing code text box, select the code you want to be the default. Click OK.

Under Delivery Options, select the options you want the Genifax Memo Form to select by default:

Default to hold for preview before sending - Select this if you want the form to default to previewing all messages before delivery.

Default to hold for approval before sending - Select this if you want the form to default to having Genifax hold messages until they are approved.

Default to delivery only to secure fax destinations - Select this if you want the form to default to sending all messages with secure delivery.

In the URL for delivery status text box, enter the URL for your company's Genifax Web Interface intranet web site.

Click Close.
