About Notes Profiles
AccuRoute Fax (formerly known as Genifax) supports two types of Notes profiles—local profiles and group profiles. You can use local profiles, group profiles, or a combination to suit the needs of your company. Local profiles can be created and maintained by individual users. Group profiles are managed by you or another administrative user. Both types of profiles enable you to create options available on the Fax Memo form, such as the list of cover pages and the default settings for the form.
Both types of profiles support the same options. You can provide lists of fax options from which users can choose when sending faxes. The fax options you can make available from these profiles are cover pages, PBX dial access codes, and billing codes. Additionally, Notes user profiles define default settings for the options on the New Fax Memo form. For example, you could set the default for the fax preview option to always request fax preview. Users can change options from the default settings on a per-message basis. If you use the Web Client, you can add the URL for the web site to local or public folder profiles, and users can access the web site from the New Fax Memo form.
Local profiles
User-managed profiles for Notes users are called local profiles. A local profile resides in the user's mail file and is created and managed entirely by the user. Each time the user opens the Fax Memo Form, the form reflects the settings in the user's local profile.
To each group profile, users can add lists of the cover pages, billing codes, and access codes that will populate the corresponding drop-down lists on the Fax Memo Form. Because the names of the templates in the profile must match the names of the templates on the AccuRoute Server exactly, you will need to give users the names of the templates to add to their local profiles. In this way you can ensure that users have access to the information they need when sending faxes. Additionally, local profiles define default settings for the Fax Memo Form, such as to default to sending all faxes with a particular cover page. Each time the user opens the form, the default options are selected. The user can change any option on a per-message basis.
Tip: The type of profile used is defined during the AccuRoute Fax Notes setup installation, which you performed before installing and adding the Notes connector. You can run this setup again if you want to change the type of profile used in Notes.
Group profiles
Administrator-managed profiles for Notes users are called group profiles. A group profile resides in a Profiles database on the Notes or Domino Server. You assign users to each profile when you create it. Each time a user opens the Fax Memo Form, the form reflects the settings in the group profile assigned to him or her.
To each group profile, you can add lists of the cover pages, billing codes, and access codes from which you want users be able to choose when creating faxes with the Fax Memo Form. In this way you can ensure that users have access to the information they need when sending faxes. Additionally, group profiles define default settings for the Fax Memo Form, such as defaulting to send all faxes with a particular cover page. Each time the user opens the form, the default options are selected. The user can change any option on a per-message basis.

Note: Only one profile can apply to a user at a time. If you assign a user to more than one profile, the profile that comes first in alphabetical order applies to the user. For example, if you assign a user to the Sales, Marketing, and Public profiles, the settings in the Marketing profile apply to the user because it is first in alphabetical order.
Changing AccuRoute Fax Notes Profile Type
During the AccuRoute Fax Notes Setup installation, you select the type of profile (administrator-managed group profiles or user-managed local profiles) you want to use with AccuRoute Fax. If you prefer to use a different profile type from the one you selected during the setup process, you can run the AccuRoute Fax Notes Setup again to change the type.
