Using WebApps Administration

Administrators or users with a limited administrative role can add, edit, and delete system calendars used by devices, for example, printers. The server will hold any jobs that are received outside of a designated time frame when calendars are used.

Adding calendars

1. Open WebApps from your browser.

2. Select the Administration > Calendar tile.

3. Select the New button. The New Calendar dialog box appears.

4. Type a name in the Name box.

5. Specify the weekly and/or weekend time frames by typing a value in the default time boxes or select the Clock icon to choose a time from the drop-down list.

6. Select OK.

Editing calendars

• Select a calendar in the table and choose the Properties button.

Deleting calendars

• Select a calendar in the table and choose the Delete button.

 

Administrators or users with a limited administrative role can add, delete, edit destinations, release jobs, and search for destinations and routing details.

Adding routing destinations

The following instructions are based on adding a Fax destination. Other destinations have different parameters.

1. Open WebApps from your browser.

2. Select the Administration > Routing tile.

3. Select the New button. The Routing dialog box appears.

4. Select a destination from the Destination drop-down list, example, Fax.

5. Specify the following Device Information.

   • Fax Number

   • Device Serial Number

   • Business Unit

6. Select the following Fax Hold parameters.

   • Enable manual hold of all jobs. Choose this option if you want all jobs to the device number to be held indefinitely.

   • Enable calendar of all jobs.

     • Choose a calendar from the Calendar drop-down list.

     • Choose a time zone from the Device time zone drop-down list.

7. Specify a value in the Release Pin box. You will need the Release Pin value to release the jobs.

8. Specify the following Route To parameters.

   • Select a Route To parameter, for example, Device.

   • Specify an address in the Device Address box.

   • Select the Apply regulated destination code check box, if necessary. (Some companies may need to fulfill additional security and compliance requirements by using a regulated destination code for their documents, for example, a bank.

     • Specify a regulated destination code in the Regulation destination code box.

9. Select a paper size from the Paper size drop-down list.

10. Select a document stamp from the Apply stamp drop-down list.

Note: You can choose a default document stamp set up by an Administrator. It will appear as the first option on the Apply stamp drop-down list. There are no default documents stamps set up if the "None" option appears at the top of the Apply stamp drop-down list.

11. Select OK.

Note: Each Destination and Route to option have different parameters that you will need to specify based on your workflow configurations.

Route to Printer

Complete the following parameters if you selected Printer instead of Device as a Route To option.

• Printer IP address or UNC path

• Paper size

• Duplex, Horizontal or Vertical (long-edge binding) settings, if necessary.

Deleting routing destinations

• Select a routing destination in the table and choose the Delete button.

Editing routing destinations

• Select a routing destination in the table and choose the Properties button.

Releasing jobs

• Select a routing destination in the table and choose the Releasebutton.

Searching routing destinations

You can specify a Destination Type, Destination and/or Device Serial Number to find your routing destinations. In addition, you can search the Destination column without specifying an exact match as your search criteria. You can search by specific characters contained in the Destination column. See examples below.

Note: This search functionality only applies to the Destination column and the use of a wildcard character (*) is not necessary.

To do a routing search

1. Specify the Destination Type, Destination and/or Device Serial Number and select Go.

2. Use Clear to clear your search criteria and start over, if necessary.

 

Administrators or users with a limited administrative role can view status, cancel, preview, download and search jobs in process. In addition, administrative users can view, resend, delete, preview, download, and search jobs in history.

In Process

You can use the In Process folder by selecting a job in the table and any of the following buttons.

Select the In Process tile.

• Use the Properties button to view a job's status and properties which includes general, attachments, job properties and journal entries.

• Use the Cancel button to cancel a job.

• Use the Preview button to preview an attachment and choose whether you want the Preview window docked or undocked.

• Use the Download button to download the attachments.

• Use the Search button to search jobs by ID, Sender, Destination Type, Destination, and/or Day(s) Sent.

History

You can use the History folder by selecting a job in the table and any of the following buttons.

Select the History tile.

• Use the Properties button to view a job's status and properties which includes general, attachments, job properties and journal entries.

• Use the Resend button to resend a job.

• Use the Delete button to delete a job.

• Use the Preview button to preview an attachment and choose whether you want the Preview window docked or undocked.

• Use the Download button to download the attachments.

• Use the Search button to search jobs by ID, Sender, Destination Type, Destination, Day(s) Sent or Completed.
