Program Policy Templates Overview

Program Policies determine how users are allowed to interact with specific Eclipse PPM Programs. They are used to give users access to specific Program components so they can carry out and record their Program-related work. Members of these policies are given permissions to interact with components of a specific Program; these policies cannot be used to provide users with any permissions outside of the Program. For example, a user on a Program Policy will not receive any permissions on Projects that belong to the Program.

Program Policies can be created directly on the Security page of each Program. While it is certainly an option to create Program Policies for each specific Program and distribute permissions on a Program-to-Program basis, it can be much more efficient to use Program Policy Templates instead.

Program Policy Templates are created by administrators the exact same way Program Policies are created on individual Programs; permissions are selected and users are added as members. Once a Program Policy Template is complete, it can be applied to Programs in order prevent users from having to create the same Program Policy over and over for each Program.

Example: Jack's organization hires Program Management teams to maintain multiple company Programs. The members of these teams will require similar (if not identical) permissions on a large number of Programs in Eclipse PPM.With this in mind, Jack creates Program Policy Templates for each type of Program.
For instance, many of his organization's Programs surround digital initiatives. Jack creates a User Group called "Digital Initiative Program Managers". He then creates a Program Policy Template called "Digital Program Managers", checks off all the permissions each Program Manager will need, and adds the User Group to it as a member. He applies the Program Policy Template to each digital-related Program. Now, each member of the User Group will have permissions on every digital initiative Program that contains this Program Policy. On each specific Program, Program Managers can edit the member and permissions of the Program Policy as necessary, but they will not have to create a new Program Policy from scratch.

Once a Program Policy Template is applied to a Program, it immediately becomes a Program Policy on that Program. There are a few ways to apply a Program Policy Template to Programs.

  • Attach it to a Program Template: Administrators can add a Program Policy Template to the Security page of a Program Template. This way, every new Program created from the Program Template will automatically feature the Program Policy upon creation.

    Note: This will only apply the Program Policy to any future Program created using the Program Template. It will not apply the policy to any preexisting Programs that were already created from the Program Template.

    This method should be used to add Program Policies to future Programs that will share the same Security settings.

  • Apply it at the Program level: Program Managers have the option to add Program Policy Templates directly to their own Programs using the Program Security page. This method should be used whenever Program Managers or Program Security teams need to satisfy their unique Program needs.

    Tip: Administrators should openly communicate the available Program Policy Templates to Program Teams to save them from having to constantly create their own Program Policies directly on Programs.
