User Groups Overview

User Groups are used to organize similar users in Eclipse PPM. Administrators can create User Groups of users who are expected to share similar permissions in the application. Once a User Group is complete, it can be added to a Security Policy. Every member of the User Group will be added as a member of the policy and receive the permissions that come with it.

Users who are added to User Groups after the User Group is added to a policy will automatically receive the permissions from that policy.

Example: Jack is the first Eclipse PPM administrator for his organization. He is in charge of putting together a team of administrators who will have full control over the application's settings. Once he puts together his team, he creates a User Group called "Eclipse Administrators".

He then creates an Application Policy called "Eclipse Administration" and selects every permission. He adds the "Eclipse Administrators" User Group as a member, which gives each member of the User Group full configuration permissions in Eclipse PPM. Whenever new administrators are hired, he can simply add them to the User Group and they will automatically receive full permissions as well.

Example: Jack's organization will be undertaking a large number of Projects surrounding digital initiatives. Pretty much all of these Projects will enlist the help of the same team of accountants to handle the Financial Plans. Each of these accountants will require "Full Control" Financial permissions on each of the Projects so they can create and manage Financial Plans. Instead of leaving this responsibility to each Project Manager, Jack decides to create an "Accountants for Digital Initiatives" User Group.

He then creates a "Digital Initiative Financials" Project Policy Template. He checks off all of the relevant permissions (most importantly, he selects the "Project Financials - Full Control" permission) and makes sure not to select any checkboxes that would give the accountants access to Project data they are not authorized to interact with. He adds the User Group to the Project Policy Template as a member and then applies it to all relevant Projects in Eclipse PPM. When a new Accountant for digital initiatives is hired, Jack can simply add them to the "Accountants for Digital Initiatives" User Group. The new User Group members will automatically receive Financial permissions on all the Projects that the Project Policy Template has been applied to. Jack does not even need to reapply the template to each Project.
