Upload a fillable PDF form

Companies store and use hundreds of PDF forms - many in their Compliance and HR departments. While these forms might be easy to read and use, they become difficult to track, users are unable to submit them digitally, and the cumulative data can’t be reported on.

FileBound’s Forms Designer takes PDF forms and automatically converts them to online, HTML forms. Form fields are mapped to index fields and the form is published to FileBound’s Forms Portal so it can be accessed by both internal or external parties. Forms from the Portal can be saved, downloaded, and submitted straight into FileBound for storage, viewing, analysis and reporting. Furthermore, the data submitted can automatically trigger workflows, assignments, and notifications to relevant parties.

When a PDF form is uploaded in the Forms Designer, the components (text boxes, check boxes, radio buttons, etc.) will auto-generate, allowing users to post active forms in minutes rather than building them from scratch. Users can complete the design by mapping the appropriate text boxes to their index fields for automatic storage, tracking, and use in workflows.

By design, some properties or elements on the uploaded PDF can not be changed. For example, preexisting text, borders, or columns on the form cannot be altered. Additionally, pages cannot be rearranged in or removed from multi-page PDFs.
  1. On the Navigation menu, click Administration, then click Projects.
  2. Click Edit next to the project you want to add a PDF form for.
  3. Select Forms from the Configuration list.
  4. Click the Web Forms tab.
  5. Click Add.

  6. In the New Form dialog box, type the name of the form in the Form Name box.
  7. Select the type of form in the Usage list. The following options are available: 
    • View / Edit: Users can view and edit information available on the web form.
    • Submission: Users can provide new information on the web form that can be used to create a new file in FileBound.
    • Success Page: Users get a customized message when a web form is submitted. See Success pages for more information.
  8. Select an option in the Layout list. The following options are available: 
    • Regular: Prevents a web form from resizing its height and width based on the screen size of the viewing devices.
    • Responsive: Allows a web form to resize its height and width based on the screen size of the viewing devices.
  9. Click Next.

  10. In the Choose a Template dialog box, select Blank, then click Done.

  11. In the Forms Designer, click Upload PDF.

  12. Select the PDF you want to upload, then click Open. A multi-page PDF may take longer to import when compared to a single page PDF.
  13. Map index fields or add additional controls from the Toolbox as needed.
  14. Print breaks are automatically added for multi-page PDF forms. Move the print break to the proper location or replace print breaks with page breaks if necessary.

  15. Click Save.

Remove a fillable PDF form

If you need to remove the PDF from the Forms Designer, click Remove PDF.
