Anonymize Deleted User Data Automatically

In support of GDPR and increasing privacy requirements, administrators can set Qvidian to anonymize information related to deactivated Qvidian users automatically after their accounts have been deactivated for a predefined number of days. Administrators can enable this feature in the InactiveUserDataScrub global setting. It can be set to delete user data from 1- 10,000 days after a user is deactivated. A day is defined as 24 hours. For example, when this setting is set to 1, the user information is deleted 24 hours after the user was deactivated. By default, it is set to 0, which does not delete deactivated user data automatically.

Note: Users deactivated prior to the January 2019 release have a deactivation date of January 12th, 2019, the date of the release.

Caution: Anonymization is permanent. After Qvidian anonymizes user information, there is no way to reverse the action or to restore the anonymized information. Please verify your company's privacy and data retention policies before enabling this feature.

When the setting is enabled, the following deactivated user's information will be deleted:

  • username
  • password
  • full name
  • title
  • email
  • phone
  • address
  • preferences
  • all permissions
  • search history
  • password history
  • private saved searches
  • private saved reports
  • saved views

After a user's information is deleted, the links and activity associated with that user remains. However, instead of associating it with a name, it will now be connected to a unique identifier, formatted as DELETED_[unique GUID]. For example: DELETED_31CB79EA-38E4-4EFB-9675-5D2130A80391
