Global settings

Search

• To search for a record, enter text into the search box at the top right of the grid, and click the Search icon or Enter.
• To re-display all global settings in the grid, delete the entire entry in the box by clicking the X.

Filter

Use the advanced filters to display specific records quickly on the grid.

1. Hover over the column header until you see the Filter icon appear.

2. Click the Filter icon to display the following dialog to set filtering parameters:

   • Text Columns: Select either Contains All, Contains Any, Matches Any, Matches Exactly, Starts with, Ends with, Is Empty, Is Not Empty, or Does Not Contain from the Operator dropdown menu. The Contains All, Contains Any, Does Not Contain, and Matches Any operators allows you to enter more than one value by pressing the Enter key after each value. The Starts with and Ends with operators allow you to enter a text value to find. The Is Empty and Is Not Empty operators do not require a value.
   • True/False Columns: Select either the Is True or Is False radio button.
   • Numeric Columns: Select either Equals, Greater than, Less than, Greater than or equal to, Less than or equal to, Not Equal to, Between, Matches Any, Is Empty, or Not Empty from the Operator dropdown menu. The Between operator shows two fields for the starting and ending values of the range you want to find. Is Empty and Not Empty operators do not require a value. All other operators require a single value.
   • Date Columns: Select either On, After, Before, Between, Is Empty, or Not Empty from the Operator dropdown menu. The Between operator shows two fields for the starting and ending dates of the range you want to find. Is Empty and Not Empty operators do not require a value. All other operators require a single value.
3. Click Apply.

Tip: To clear the filter, click the Clear Filter icon in the header, and then click Clear. You can also click out of the filter dialog to close it.

Sort columns

• To sort columns chronologically or alphabetically, click the column header name. The records will display in ascending order.
• To switch from ascending to descending order, click the selected column header name again.

Select grid rows

• Select your desired grid row(s) using the checkboxes or by clicking the rows and using CTRL+CLICK or SHIFT+CLICK to select multiple records.

Default v Compact column mode

You can switch between the default and compact column modes. Unless updated, the grid will remain in default mode. Compact mode shortens the height of the grid rows.

• To switch between the modes, go to My Preferences within the header Profile menu and select the Default and/or Compact radio buttons.

Specifies the URL to use, if specified, when a user clicks on "Add Bookmark". Default is ''.

Specify whether a content title will be added as the first search term in the associated record’s Learned Terms when it is uploaded, bulkloaded, or submitted from an RFP.

Default: On

Specifies whether documents can be built if some of the Selection Items have been disabled.

Default: On

Notes: Selection Items within a document type may be disabled when architecting the document type. When a document includes disabled Selection Item(s), this setting controls whether building the document is allowed or disallowed. If set to ‘On’, the document can be built but an appropriate message is displayed. If set to "Off", the document cannot be built and an appropriate message is displayed.

Specifies if the Upland Qvidian application should allow duplicate Project Titles (across all document types). Setting of "On" will allow duplicates; "Off" will not.

Allow usage of the FirstPass feature in Qvidian for Microsoft Office.

Allow users to reopen their completed workflow tasks.

Notes: Allows a user to reopen their workflow task(s), but does not allow an entire, completed workflow to be reopened. This would require Project Owner intervention.

An option to always display items alphabetized within a group for a Selection Tree without requiring manually sorting them.

Specifies if the Upland Qvidian application should apply build templates again at the completion of the project build. Setting of "On" will apply templates; "Off" will not apply templates.

Indicates whether to force QPA authentication when clicking on a link to a built document.

Values:

• 0: No Authentication. Anyone can access content via the link.
• 1: Always authenticate. Only licensed Upland Qvidian users can access that content via the link.

Default: 1

Indicates whether to force Upland Qvidian authentication when clicking on a download link.

Values:

• 0: Do not authenticate. Anyone can access content via web links.
• 1: Prompt to authenticate when creating the link. The Require Authentication check box will display in the generate web links dialog box. If the check box is selected, only licensed Upland Qvidian users can access that content via the weblink.
• 2: Always authenticate. Only licensed Upland Qvidian users can access content via web links.

Default: 0

The order in which the four areas will be searched. LearnedTerms are also known as Search Terms. AssignedTerms are also known as keywords.

Enable Automatic RFP Revision Tracking.

Specifies regular expression to use when filtering data for removal of "junk" characters.

Caution: This setting should only be modified as directed by Upland Qvidian personnel.

Specifies if built-in Office document properties should be cleared during document saves from Office applications. Value of "On" indicates to clear the properties.

Specifies number of days to use for “My Expiring” and “All Expiring” library content searches including Home page panels and library standard searches. Value of 30 indicates search for content expiring within next 30 days.

Default: 30

This setting allows previous revisions of content to be automatically deleted from the system after a specified number of days. Enter the number of days, from 0 to 18250, after which previous content revisions should be deleted.

Default: 0 (this means that the previous revisions of content should never be deleted)

Notes: Audit Event #57 "System deleted old content revision" is associated with this setting. The number of content revisions that are deleted per scheduled nightly job is 1500.

Overrides the instructional text to show on the Create a Project panel on the home page. Enter the text that you want to appear in the Create a Project panel into the "Value" field. If the "Value" field is blank, the default text ("Start a project to complete a document package by entering the project title or adding a file.") will be displayed. To reset the description to the default text, click "Default".

Default: When blank, the following default text will appear in the Create a Project panel, "Start a project to complete a document package by entering the project title or adding a file."

Specifies if thumbnail images should be generated for Microsoft PowerPoint slides during upload. Value of "On" specifies that thumbnail images will be generated during upload. If set to "Off", thumbnail images are generated the first time a slide presentation is previewed.

Default: Off

For Data Entry screens in Projects, set the tab order for multi-column layouts. A value of “0” (default behavior) will move vertically through column 1, then column 2 when the “tab” key is pressed. A value of 1 will move horizontally left to right.

Default: 0

Notes: Any fields containing a button or dropdown menu (e.g. fields requiring the user to perform additional clicks or actions in order to be completed) will be skipped when the “Tab” key is pressed.

This is the default Language ID to be used when automatically adding content to the library from Architecting or when creating a new bundle within the Library. The table below shows the other language IDs that can be applied. Prior to changing the default language ID, please check with Qvidian support to ensure that the desired language has already been applied to your Qvidian instance.

Specifies the library default word searching method. Options are ANY or ALL. Default is ANY.

Set a default name for all new workflow tasks.

Default: "Workflow Task"

Notes: This setting allows users to bypass manually entering a name for each workflow task. Users can opt to leave the default workflow task name unchanged to create workflows faster when there’s no need to replace the default name with something more descriptive.

Specifies if inflectional searching is disabled for all library content searches. Value of "On" indicates inflectional searching is disabled.

Specifies list of language/locale IDs (LCIDs) to disable inflectional searching for during library content searches.

Specifies display order of full user names. Value of "On" indicates last name is displayed first.

Default: Off

Specify how copied content is handled when a Document Type is duplicated. Duplicated content can appear in either: the same folder as the original content, the new default content folder for the new document type, or the new default folder if the original content was in the original default folder (and any content not in the original default folder gets duplicated to the same folder as the original content).

Default: 1

This allows administrators to whitelist specific email domains. List of email domains (separated by semi-colons) to allow in Qvidian. Email to all other domains will be blocked.

Default:

Override the sender's email address and put the actual sender's email address in the Reply To field. Examples: noreply@qvidian.com (replaces whole email), @email-company.com (replaces only the domain).

Notes: If your Upland Qvidian generated emails are going to your users' junk mail folder, because the domain that they are generated from does not match the domain in the sender's email address, you can specify an alternative email address to use as the sender, or alter the domain of the actual sender’s email address while keeping the original sender's address in the reply to field.

For example:

• If original sender's address is a.user@yourcompany.com and the value in the EmailSenderOverride setting is notifications@qvidian.com, notifications@qvidian.com will appear as the sender and replies would go to a.user@yourcompany.com.
• If original sender's address is a.user@yourcompany.com and the value in the EmailSenderOverride setting is @qvidian.com, a.user@qvidian.com will appear as the sender and replies would go to a.user@yourcompany.com.

Specifies the timeout (in seconds) for Upland Qvidian Notification Email send operations (Minimum value of 5 seconds enforced).

Strictly enforce PowerPoint slide layouts. Setting of "On" will reset slides to match their master slide layouts.

Event audits older than this configured age (in days) are purged from the system daily. If the value is set to a number between 1 and 1095, then once per day, any audit events that are older than the number of days specified by the setting will be purged. A value of 0 indicates no event audits will be automatically purged. A maximum value of 1,095 days (3 years) is enforced.

If ActiveX is not enabled, this flag indicates if the users will have the Qvidian add-in for Microsoft Excel installed.

Specifies library folder security cascade mode. Value of 0 specifies use of a single SQL procedure to apply security to all selected folders; Non-zero value specifies use of a separate SQL procedure call for each folder.

Default: 0

Specifies library folder statistics mode. Value of 0 specifies gathering statistics without applying permissions; Non-zero value specifies gathering statistics with permissions applied. When enabled (i.e. Value = 1), the number displayed next to each folder represents the number of records the current user can view. This is applicable when the user only has permission to view a subset of the records within folders. When disabled (i.e. Value = 0), the full number of records stored in each folder is displayed, regardless of whether the user has permission to view all the records.

Notes: A day is defined as 24 hours. For example, when this setting is set to 1, the user information is deleted 24 hours after the users was deactivated.

Users deactivated prior to the January 2019 release have a have a deactivation date of January 12th, 2019, the date of the release. For more information, see Anonymize Deleted User Data.

Caution: Anonymization is permanent. After Qvidian anonymizes user information, there is no way to reverse the action or to restore the anonymized information.

Include all selected items when a subsection is selected for Agenda Slide inclusion.

Default: Off

Notes: This setting must be enabled to select your selection items on an Agenda slide.

This allows administrators to determine whether Excel files are inserted as content or an icon when a user selects “Include in the Main Document” within a Project File List or RFP subsection. Previously, when Excel files were embedded directly as content, it was not always clear that additional tabs may exist on the spreadsheet. Now, when the Excel file is embedded as an icon, users must double-click the icon to open the spreadsheet and will not miss any additional tabs. Select the “On” radio button to insert the Excel file as an icon. Select the “Off” radio button to insert the Excel file as content.

This is the maximum length of text to extract from content's native file. Valid length setting can range from 1 to 1000. A setting outside the valid range will be ignored and a length setting of 1000 will be used.

Note: "Destination Formatting" is the best option for organizations that want to start with a consistently themed presentation. Select the "Source Formatting" option to make the inserted PowerPoint slides resemble those found in the library, which will result in a larger file size due to the source master slides included in the build.

Enables the Send to SME feature in Upland Qvidian

Default: On

Notes: When disabled, Send to SME does not appear in the context menu of the library and related quicklinks cannot be added to the Home page.

If there are any active SME Jobs when the administrator disables Send to SME, access to the jobs from Upland Qvidian is removed as stated above. However, users can access jobs via links included in emails or by using the My Work tab, adding /jobs to the end of the URL in the browser's address bar, and pressing Enter.

When users build a project, the proofing language can be automatically set to the same language as the default proofing language of its template. Especially when working in an environment that contains templates based in multiple languages, or multiple versions of the same language (e.g., UK, US, and Canadian English), this setting helps users review spelling errors more easily in the language they expect.

Default: Off

Notes: This enhancement works with Microsoft Word templates that have a set default proofing language. To define a proofing language in Word, go to Review> Language> Set proofing language. After selecting the desired proofing language, click the “Set as default” button to confirm. Qvidian architects can create and update templates under Architecture.

Determines whether any specified BCC addresses are displayed in the interface.

Specifies the type of generated download links, also known as web links, created for customers with mixed mode authentication.

Values:

• 0: Only generates and displays a link that redirects to a Upland Qvidian login page that includes a Single Sign-On button for SSO users if the instance is in mixed mode.
• 1: Generates and displays two separate links: a Single Sign-On link that takes SSO users directly to the content record, and an Explicit Login link that takes users to a login page.
• 2: Only generates and displays a Single Sign-On link. SSO users can click the link and go directly to the content record.

Default: 0.

This setting improves security and allows administrators to define the parameters of an SSO URL, redirecting users to the desired URL once they log into Qvidian via SSO. Enter the URL that the user will be redirected to after performing the QPA SSC.

This is the URL to take the user to when they select "Qvidian Support" from the Help menu.

Specifies the encryption algorithm to use for user passwords. Possible values are RIJNDAEL (default or if the string is empty), DES, RC2 and TRIPLEDES.
