Duplicate a document type

If you want to create a new document type that is similar to one you already have, you can make a copy of an existing document type to save time. For example, you may want to do this if you need another version for a different geographical region that uses a different paper size, or want to permission each document type to specific user roles for reporting purposes.

  1. Go to Architecture > Document Types and use one of the following methods:
    • Hover over the desired document type and click the Duplicate Duplicate icon icon.
    • Select the desired document type checkbox and click the Duplicate Duplicate icon icon at the top of the grid.
  2. Enter an Export File Name.
  3. Select the Enable checkbox to enable this document type for use. The "Enabled" column on the grid reflects if the document type is enabled or disabled for use.
  4. Click the Select Content Folder Select Content Folder icon icon to select the content folder. It is recommended as a best practice to first create the folders where you want to store the default content for document types.
  5. Select one of the following options for Components:
    • Share (data will be shared with the original): Existing components used in the document type being duplicated will be in sync with the new document type. Any edits made in one document type will update the components in all other document types with which it is shared.
    • Copy (data will not be shared with the original): Create copies of the subsection components used in the document type being duplicated.
  6. Select one of the following options for Content:
    • Share (refer to the same content as the original document type): Share existing content used in the document type being duplicated. Any edits to the content will be reflected in all document types with which it is shared.
    • Copy (refer to copies of the original document type content): Create copies of the content used in the document type being duplicated. The content will be stored twice, as two separate records, in the library.
    • Remove content
  7. Click Duplicate.

Note The “DuplicateDocTypeContentHandling” Global settings specifies how copied content is handled when a Document Type is duplicated. Duplicated content can appear in either: the same folder as the original content, the new default content folder for the new document type, or the new default folder if the original content was in the original default folder (and any content not in the original default folder gets duplicated to the same folder as the original content).
