Searching for matches to replace a booked Resource or Role

This article details how to find matches to replace a booked named resource or role on the Work Plan by searching for the Resource.

Note:

  • Ensure that you have the appropriate edit rights to be able to perform the action of replacing bookings on a given Work Plan.
  • The pages and/or format in which the page(s) is/are shown in this article may differ from yours as your organization may have required a different set up altogether, or you may have different rights granted to you.

Version note: The search capability within the Work Plans is available as of Tenrox 2019 R1 SP5.

1. Access the required Work Plan

Depending on your organizational role and rights granted to you, you can access the Work Plan through one of any or one of the following avenues, each of which are illustrated in the Accessing the Work Plans article. For the purpose of this artilce we are going to Access the Project Work Plan:

Note: Ensure that you have the appropriate edit rights to be able to perform the action of replacing bookings on a given Work Plan.

1.1 Click Work Plan on the Project Edit page

  1. Click Project List from the Icon Bar.
  2. Select a project from the Projects list.
  3. Hover your mouse over the Planners tab.
  4. Click the Work Plan option.

2. Select a Booking

Click Find Matches for a Role
  1. Click the down arrow located to the left the booking that requires replacement.
  2. Select Find Matches ... .

View the possible matching resources. Besides the role, that the matching capability is looking to replace, are two other factors affecting the possible matches being displayed:

  • The Match% is the resource's availability percentage, calculated as Total User's Availability / Total Booked Hours for the course of the Allocation Dates.
  • When applicable, the Skills Matching capability that validates the resource's skills against the required skill(s) selected for the booking. Note that the selected "And" or "Or" condition, along with any applicable proficiency level, can further expand or reduce the list.

Version Note: Availabe as of 2019R1 SP4:

  • Any Filters applied to the bottom section of the Work Plan is remembered upon navigating away from the page and will be automatically reapplied on subsequent visits until modified
  • Additon of a Search functionality within the bottom section of the Work Plans.

4. Search for Resource by Name

Select a resource
  1. Click the Search icon located in the bottom grid.
  2. In the Search for Box enter either a resource name (Last Name or Last Name, First Name) or a role name, and then click the Search button.
  3. Click Search.
  4. Click the Close [x] button.

5. Select a resource

  1. Select a matching resource by clicking the check box to the left of the name.
  2. Note booking hours from the top grid are allocated to the selected resource in the bottom grid (highlighted in yellow).
  3. Note any Availability values for the matching resource that would render them over allocated (highlighted in red).

6. Click Replace

Click Replace
  • Once satisfied with the selected matching resources and distribution of booked hours, where it was necessary, click Replace.

7. View the revised top grid with the selected resources

  • View the revised top grid with the selected resources, having replaced the role booking, and fulfilled the original booked hours.
