About User RuleSets

With User RuleSets, you can create custom rules for the Upland AccuRoute server to use for processing messages. For each rule, you can select a destination, identify criteria, and specify actions to be performed. Administrators have a variety of templates for document routing with multiple destinations available. Creating User RuleSets is optional. There are Received Faxes and Default RuleSets created for you during the server installation.

Note: You can have up to five criteria in a rule. If you want to set more than five criteria in a rule, create the rule with the first five criteria, make a copy of the rule, add the next five criteria and continue until you are done.

Use the general instructions below to create your User RuleSets.

Creating User RuleSets

You can create User RuleSets to the following destinations.

To create a Route to Connector rule

  1. In the Server Administrator, select and expand RuleSets, if necessary.
  1. Right-click Users. The Properties shortcut menu appears.
  2. Select New > Route to Connector. The Criteria dialog box appears.
  3. Select a destination, for example, Email on the Destination type drop-down list.
  4. Specify your destination parameters in the Matches box.
  5. Click Next. The Deliver dialog box appears.

  1. Select a connector, for example, Filescan on the Server from the Connector drop-down list.
  2. Select a format; for example, PDF on the Format drop-down list.
  3. Choose whether you want the sender to override the document's format.
  4. Use the default settings or select any of the following Template and Document options.
    • Never
    • Always
    • Use Sender Settings

Note: The Template option in the instructions are related to the use of, for example, fax cover pages and other first page templates in use at your company.

  1. Choose whether you want to override the destination and specify another location in the box.
  2. Use the Delivery Options button to specify document processing options, for example, Merge attachments and select OK when you are done.
  3. Select Next. The rule name appears on the Complete dialog box.
  4. Select Finish. The rule appears in the User RuleSets details pane.

 

The Embedded Directive Manager is used to manage the creation, detection, decoding, and application of Embedded Directive IDs to messages by the server. Embedded Directives known as distribution lists are assigned IDs so the server can deliver messages to its appropriate distribution lists.

The Route to Embedded Directive Manager template can be used to create rules for the following document workflows.

  • Document scans with routing sheets

  • Email address to a specific Embedded Directive

  • Sender-specific Embedded Directive

  • Scan to Me

To create a Route to Embedded Directive Manager rule

  1. In the Server Administrator, select and expand RuleSets, if necessary.
  1. Right-click Users. The Properties shortcut menu appears.
  2. Select New > Route to Embedded Directive Manager. The Criteria dialog box appears.

  3. Select a destination on the Destination type drop-down list

  4. Specify your destination parameters in the Matches box.
  5. Click Next. The Embedded Directive dialog box appears.

  1. Select Scan document(s) for Embedded Directivefor document scans with routing sheets or choose any of the following options, if necessary.
    • Use the following Embedded Directive to find, select, and modify distribution properties. This option is related to hard-coding an email address to a specific Embedded Directive.
    • Use sender-specific Embedded Directive to allow AccuRoute Desktop, WebApps users to select their own Embedded Directives at supported devices.
    • Scan to Me
      • Use originator to match jobs based on the sender.
      • Use destination to match jobs based on destination, for example, email address.
    • Scan subject line for Reservation Code (Option is no longer applicable in this release.)
    • Options
      • Route only files of type to select a document format, for example, PDF.
  2. Select Next. The rule name appears on the Complete dialog box.
  3. Select Finish. The rule appears in the User RuleSets details pane.

 

The Route to Failure template is used to route failed messages to a designated destination.

To create the Route to Failure rule

  1. In the Server Administrator, select and expand RuleSets, if necessary.
  1. Right-click Users. The Properties shortcut menu appears.
  2. Select New > Route to Failure. The Criteria dialog box appears.

  3. Select a destination on the Destination type drop-down list.

  4. Specify your destination parameters in the Matches box.
  5. Click Next. The rule name appears on the Complete dialog box.
  6. Click Finish. The rule appears in the User RuleSets details pane.

 

The Route to Lookup template is used for inbound messages, for example, faxes. Administrators can assign a fax number to a specific user or group in the Active Directory so that when a fax is received it is delivered to the appropriate user or group.

Note: The SMTP connector is configured for DID/DTMF Lookup.

To create a Route to Lookup rule

  1. In the Server Administrator, select and expand RuleSets, if necessary.
  2. Right-click Users. The Properties shortcut menu appears.
  3. Select New > Route to Lookup. The Criteria dialog box appears.

  4. Select a destination on the Destination type drop-down list.

  5. Specify your destination parameters in the Matches box.
  6. Select Next. A message appears about LDAP search.
  7. Select Next. The rule name appears on the Complete dialog box.
  8. Select Finish. The rule appears in the User RuleSets details pane.

 

The Route to Queue template is used to send messages to a designated queue for review and approval before being delivered to their final destination.

Note: You must have a Queue license for your custom queue rules to work.

  1. In the Server Administrator, select and expand RuleSets, if necessary.
  1. Right-click Users. The Properties shortcut menu appears.
  2. Select New > Route to Queue. The Criteria dialog box appears.

  3. Select a destination, for example, Queue on the Destination type drop-down list.

  4. Specify your destination parameters in the Matches box.
  5. Select Next. The Queue dialog box appears.
  6. Select a queue on the Queue drop-down list
  7. Select Next. The rule name appears on the Complete dialog box.
  8. Select Finish. The rule appears in the User RuleSets details pane.

 

The Advanced Routing template is used to create a custom rule that meets your specific workflow requirements. This template is a blank slate that allows Administrators to create their own criteria expressions with user-defined job properties.

  1. In the Server Administrator, select and expand RuleSets, if necessary.

  1. Right-click Users. The Properties shortcut menu appears.
  2. Select New > Route to Advanced Routing. The Rule Properties > General dialog box appears.

  1. Type a rule name in the Name box.

Note: The RuleSet folder, Order (priority), and Enable this rule options are preset for you and can be changed if necessary.

  1. Select the Criteria tab, type your Criteria expression, and use the Insert button to insert system or user-defined properties.

  1. Select the Actions tab. The Actions tree appears.
  2. Select an action, use the Add button to add other actions or use the Properties button to modify existing actions.
  3. Select OK when you are done.
