Forms Portal

The Forms Portal is a tool where the public can submit information and requests straight into FileBound.

Forms can be designed, edited, and stored in FileBound to be completed and submitted not only by users of FileBound, but also by those who do not have login access to FileBound. Depending on set permissions, access to forms can be limited via single or multi-use access codes, or can be left open to the public.

The Forms Portal can be embedded into your website while submissions feed straight into FileBound and can even trigger workflow processes and notifications. From within the Forms Designer, creators can add capabilities for field validation and calculation, drop-downs containing information pulled from other projects and pre-built rating scales that can be customized for each specific scenario.

In order for a form to be available on the Forms Portal, a System Administrator must enable the form for the portal. See Submission Form Settings - Portal Tab for more information.

Note: Only submission forms can be used in the Forms Portal.

Use cases

Forms for internal use: Think of an intranet, where companies post forms that their employees need to access: vacation requests, expense reports, IT help desk, feedback submissions, misconduct reports, and more. Companies can use the forms portal to post these forms for their employees to access and submit without having their employees be FileBound users.

HR onboarding: All forms used in a company’s onboarding process can be posted on the forms portal for easy access by new employees.

Field workers: Some companies have field workers, or service technicians, who complete paperwork and forms while out on the job. Companies can post these forms to their forms portal so that their field workers can remotely access them, download them to take them offline, and then upload them as they return to a Wi-Fi signal.

Student forms: Using the forms portal, schools and universities can post common student forms for easy access by the student population and their parents. Examples include: change of address, transcript requests, class drops or adds, internship requests, and so on.

Access the Forms Portal

Add '/portal' to the URL of a FileBound site to access the Forms Portal of that site. For example, to access the portal of https://abcroofing.com, you need to enter the URL https://abcroofing.com/portal.

Based on the security set for the portal, you may need to provide your FileBound logon credentials or an access code.

Navigate the Forms Portal

The Forms Portal is comprised of the following areas:

  • Top Header: This is the area where you can add your company’s logo or the company name. You also have the flexibility to hide this top header.
  • Master Page: The Master page is where we enable forms to be able to be accessed from the Forms Portal online.
  • Categories: Categories are ways that we group different forms together in order to make information seeking easier. The number of forms available under each category is displayed on the Forms Portal. See Forms Portal Categories for more information.

Open a form on the Forms Portal

  1. Add '/portal' to the URL of a FileBound site to access the Forms Portal of that site. For example, to access the portal of https://abcroofing.com, you need to enter the URL https://abcroofing.com/portal.

    Note: Based on the security set for the portal, you may need to provide your FileBound credentials or an access code.

  2. Click View Forms next to a category.

  3. Click Open next to the form you want to open.

Save a draft version of a form on the Forms Portal

  1. Click View Forms next to a category.

  2. Click Open next to the form you want to open.

  3. Enter form information, then click Save Draft.

  4. In the Save Draft dialog box, type a name for the draft, then click Continue. You can access this form in the Saved Drafts section.

Download a form from the Forms Portal

You can download a form and access it later. A form, once downloaded, is saved on your device and you can access it without an Internet connection.

Note: The browser cache limit is 5 MB, so large forms may not be able to be downloaded from the Forms Portal.

  1. Click View Forms next to a category within the Available Forms section.

  2. Click Download next to the form you want to download. The form gets downloaded and the Download button for this form becomes disabled.

    Note: Only a web form can be downloaded. To make a web form downloadable, select the Allow form to be used offline check box on the General tab of Form Settings. See Submission Form Settings - General Tab for more information.

Hide the top header in the Forms Portal

Add '?hidetop=true' to the URL of the portal to hide the top header.

Example: To hide the top heading of www.abcroofing.com/portal, you need to enter www.abcroofing.com/portal?hidetop=true in the browser.
