Sending SMTP Connector Outbound Messages
The SMTP connector delivers outbound messages to the HP Capture and Routeserver messaging system. This includes messages that have Embedded Directives (distribution lists) and users who send messages from their email client application or a network scanning device to a special SMTP address.
Note: You must create routing rules that will identify outbound messages associated with Embedded Directives on the server. For instructions, see About SMTP Connector Routing Rules.
The following examples provide you with a general description of how messages enter the server messaging system via the SMTP connector.
Sending an outbound message from the HP CRclient
In this example, when sending an outbound message to the server, the message destination is recognized, matched with its associated Embedded Directive, processed, and delivered it to its final destination.

Create a message with the HP CRclient application.

Address the message to an email address.

Attach one or more electronic documents.

Click Send.
The server analyzes the message and applies outbound routing rules to it. The message matches an outbound routing rule based on the destination address, and the server routes the message to the SMTP connector for delivery.
Sending an outbound message from a scanning device
In this example, the user scans a document and specifies the server as the destination for the scanned image. The server recognizes the message, matches it with its associated embedded directive, processes the message, and delivers it to its final destination.

Create a routing sheet with the client app. The server generates the Embedded Directive for the routing sheet and stores a copy of the Embedded Directive in the Embedded Directive Manager component.

Print the routing sheet and take it to a network scanner that allows the user to specify an SMTP based destination.

Select the Routing Sheet button and scan the Routing Sheet and other documents that make up the outbound message.
The message travels to the server where it matches an outbound routing rule based on the destination address, and the server routes the message to the Embedded Directive Manager component.
The Embedded Directive Manager component matches the outbound message with an Embedded Directive, and the server processes the message according to the routing instructions associated with the Embedded Directive.
