Create and edit project assignments

You can create assignments for files in File List, Selection Driven Content, or Static subsections, questions in RFP Project questionnaires. You can also create a "Read-only" and approval assignment for all content in a project, known as a Project Overview assignment. The following participants can create and manage assignments: 

  • Project owners can create assignments for questions in a questionnaire, files in RFP project and File List subsections, or all content in the project.
  • Participants assigned to "Editable" mode task(s) for the project overview assignment can work on all questions in the RFP and add files to the File List subsection. Participants assigned to the "Read-only" mode task(s) for the project overview assignment can approve work by marking the task(s) as complete or reopening previous tasks.
  • File List subsection owners can create assignments for File List subsection files. Selection Driven Content and Static Content subsection owners can create assignments for Selection Driven Content and Static Content files.

Assignments can be single or multiple-task workflows and may include one participant, several participants, or an entire team in each workflow task. tasks can be designated as either "Editable" or "Read-only" mode tasks. Editable mode task participants can answer and edit their slices or edit their file, and mark their workflow task as complete. "Read-only" mode task participants only have permission to approve or reject answers by marking their workflow task complete or reopening a previous participant’s workflow task. Workflow tasks can be set to either: "Everyone," which requires all participants to complete the assigned task or "Anyone," which only requires one participant to complete the assigned task. You may want to require only one of the participants to complete the task if you have assigned it to a team, but any member of the group can answer it. You may want to require all the participants to complete the task if the question contains multiple parts, or requires approval from all participants.

Note: When you change a project due date to an earlier date, any assigned tasks that have a due date beyond the new project due date will be updated to that date. Extending the due date of the project will not automatically extend the due date of the assignments.

Note: When a user misses an assignment deadline, Upland Qvidian can send a copy of the late notification email to their manager automatically. To send an automatic manager escalations for late assignments email, enable the “Include user's manager on late assignment notification” setting found on the Permissions tab of the Users page in addition to the "Your Project Task In Workflow Has Expired" and "Your Review Job Task In Workflow Has Expired" Email Notification Triggers. Ensure that the Manager Name and Manager Email fields in the desired user profile have been completed; if these fields remain blank no email will be sent.

View assignments

The Assignments tab lists the project workflow and/or your assignments, depending on the view. Click the Workflows toggle to view all assignments, or My Tasks to view only your assignments. The Workflows / My Tasks bars, at the top of the Assignments panel, indicate the progress of the workflow or user's assignments. The Workflows view displays by default for project owners and reflects the progress of the project by showing the percentage of assignments in each status, along with the project due date. My Tasks displays by default for other participants and reflects the progress of only your assignments. The bars display the percentage of assignments in each status as indicated by color. Hover over the colored status sections on the bars to display the number of assignments in that status.

Tip: You can also view assignments by right-clicking an existing slice and selecting Assignments from the Actions menu and the assignment workflow will appear in the left panel; if there are no assignments for a selected slice, the Create Assignment button will appear.
