Submit content from a questionnaire
You can send new and revised content created for a questionnaire in projects to your Content Manager (CM) to review and enable in the library. When content is submitted, it creates or is added to a content review job for the CM you choose and is assigned the next available content ID number in the library. Then, the CM can either approve or reject the content, assign it to another reviewer, or create a review workflow for the content.
Note: To determine which submission fields are shown and required, empowering content managers to make more informed decisions when approving or rejecting submissions, see Submit Content Settings.
Users can submit new and revised content for review on a slice-by-slice basis or in bulk. This is done by:
- editing empty slice(s) or cell(s).
- revising slice(s) or cell(s).
- dragging and dropping content from your computer into empty slice(s) or cell(s), or replacing existing content in the slice(s) or cell(s).
If submitting new content, a New Content icon appears in the upper right corner of slices or cells that have new content that is not associated with a Content ID. Once submitted the indicator changes to a New Submitted Content
icon. If you edit the slice or cell, the indicator will turn back to blue, and you will have the option to resubmit the content for review. If you do, this creates a new record that is not linked to the previous submission. If submitting revised content, a Revised Content
icon appears in the upper right corner of slices or cells that contain revised content that is associated with a Content ID. Once submitted, the indicator changes to a Submitted Revised Content
icon. Once submitted, the revised content maintains its previous Content ID.
Note: When submitting an answer from an Excel questionnaire, the content is sent as a Word document and inherits the style of the project it came from.
Showing & hiding submit flags
Project owners, managers, and other permissioned users have the ability to show or hide the submit flags in their RFP. Submit flags are displayed by default.
- Click the Submit Content
icon. The Submit Content dropdown menu will appear.
- To show submit flags:
- Select the "Show Submit Flags" menu option.
- Once selected, a checkmark will appear next to the "Show Submit Flags" menu option.
- To hide submit flags:
- Select the "Hide Submit Flags" menu option.
- Once selected, a checkmark will appear next to the "Hide Submit Flags" menu option.
Individual Submissions

New content is marked by the New Content icon and hover text in the right-hand corner of the slice and the New Content
tag in the "Submit Content" panel.
- Right-click a slice or cell or containing the New Content
icon, and then select Submit Content. The "Submit Content" panel appears.
- Select the Content Manager that will receive your new content from the dropdown menu.
- Enter any Comments.
- If desired, provide any Additional Information:
- Select the folder you want to upload the content to using the Select Folder field. Click > on the "Select Content Folder" dialog to expand folder trees to locate the desired folder. A blue checkmark will appear next to the selected folder.
- Set any metadata fields, such as Language, Contact Info, Region, etc.
Set any Date and Time fields ˅
- Click the calendar icon to open the calendar.
- Browse to the required month and year and click on a date to set the date. Use the left and right arrows on the top right to move to the previous or next month. Use the drop-down to select the year.
- Set the time using one of the methods below:
- Click the clock icon to open the clock.
- Click in the hours and minutes fields and enter a new time.
- Click the up or down arrows on the hours, minutes.
- Use the drop-down to select AM or PM.
Note: You cannot change the deadline once the email has been sent. To give a contributor access to the after the deadline, you must send a new request.
- Click Submit. The New Content
icon turns into a New Submitted Content
icon, a "Content Submitted" confirmation appears, a content review job is created, and an email is sent to the user you chose.
Note: Only users with the "Allow user to see features related to content management" permission enabled will be listed for any new content submissions. Only users with the "Allow user to perform content review tasks" permission enabled and have edit, manage, or owner permissions will be available for any revised content submissions.

Revised content is marked by the Revised Content icon and hover text in the right-hand corner of the slice and the Revised Content
tag in the "Submit Content" panel.
- Right-click a slice or cell or containing a Revised Content
icon, and then select Submit Content. The "Submit Content" panel appears.
- Select the Content Manager you will submit your revised content to from the dropdown menu. If the content has a single owner, that owner appears by default. If the content has multiple owners, users can select which content owner will receive the content for review. You can only select one user; you must clear the check box before selecting another user.
- Enter any Comments.
- Click Submit. The Revised Content
icon turns to a Submitted Revised Content
icon, a "Content Submitted" confirmation appears, and a content review job is revised.
Note: If there is no owner or multiple owners assigned to the content, you can select who the revision will be submitted to. If there is only 1 owner assigned to the content, that owner is automatically selected and you cannot change who the revision will be submitted to.
Bulk Submissions

The number of new content flags is displayed next to the "Submit New" menu option. New content is marked by the New Content icon and hover text in the right-hand corner of the slice and the New Content
tag in the "Submit Content" panel. You can submit all new content in bulk or individually.
- Click the Submit Content
icon. The Submit Content dropdown menu will appear.
- Select the Submit New menu option. The "Submit Content" panel appears.
- Choose a Batch Settings option:
- Bulk: This option allows you to configure the batch settings for all the content records you wish to submit. All content records in the batch are automatically processed using these settings and submitted to the library upon clicking the Submit button.
- Select the Content Manager that will receive your new content from the dropdown menu.
- (Optional) Enter any Comments. Any comments entered here will apply to all content records.
Note: Only users with the "Allow user to see features related to content management" permission enabled will be listed in the Add Content Manager dialog box for any new content submissions. Only users with the "Allow user to perform content review tasks" permission enabled and have edit, manage, or owner permissions will be available for any revised content submissions.
- Individual: This option allows you to walk through and review each content record in the batch before submitting. All content records are processed in one batch and submitted to the library upon clicking the Submit button.
- Click Start to begin the process of modifying the batch settings fields on a record-by-record basis.
- Select the Content Manager that will receive your new content from the dropdown menu.
- (Optional) Enter any Comments. Any comments entered here will apply to all content records.
- Click Next. Repeat this process for each content record until the Next button is replaced with a Submit button.
Note: Only users with the "Allow user to see features related to content management" permission enabled will be listed in the Add Content Manager dialog box for any new content submissions. Only users with the "Allow user to perform content review tasks" permission enabled and have edit, manage, or owner permissions will be available for any revised content submissions.
Tip: Click Skip to bypass any individual content records during the submission process.
Caution: If you choose to exit the submit content process in the middle of your walk through, the "Exit Submit to Library Process" confirmation dialog will appear. You will have the option of exiting without submitting your content records or submitting your current progress and exiting.
- Bulk: This option allows you to configure the batch settings for all the content records you wish to submit. All content records in the batch are automatically processed using these settings and submitted to the library upon clicking the Submit button.
- If desired, provide any Additional Information:
- Select the folder you want to upload the content to using the Select Folder field. Click > on the "Select Content Folder" dialog to expand folder trees to locate the desired folder. A blue checkmark will appear next to the selected folder.
- Set any metadata fields, such as Language, Contact Info, Region, etc.
Set any Date and Time fields ˅

icon, a "Content Submitted" confirmation appears, content review jobs are created, and emails are sent to the user you chose.
Tip: You can also select multiple content slices by using "Ctrl + Click" to select specific slices or "Shift + Click" to select a range of slices. Any unflagged slices will be ignored.
Note: If you are working with an Excel RFP, you have the option to identify the question cells that your answers belong to in the table using the Question Text Area field. For example, you can pull the title from the question X cell(s) to the Left/Up/Right/Down.

The number of revised content flags is displayed next to the "Submit Revisions" menu option. Revised content is marked by the Revised Content icon and hover text in the right-hand corner of the slice and the Revised Content
tag in the "Submit Content" panel. You can submit all revised content in bulk or individually.
- Click the Submit Content
icon. The Submit Content dropdown menu will appear.
- Select the Submit Revisions menu option. The "Submit Content" panel appears.
- Choose a Batch Settings option:
- Bulk: This option allows you to configure the batch settings for all the content records you wish to submit. All content records in the batch are automatically processed using these settings and submitted to the library upon clicking the Submit button.
- (Optional) Enter any Comments. Any comments entered here will apply to all content records.
Note: Only revised content that has 1 Content Manager can be submitted in bulk. Any revised content with no owner or multiple owners must be assigned to a Content Manager using the Individual Submission Process.
- Individual: This option allows you to walk through and review each content record in the batch before submitting. All content records are processed in one batch and submitted to the library upon clicking the Submit button.
- Click Start to begin the process of modifying the batch settings fields on a record-by-record basis.
- If applicable, select the content owner you will Submit To by clicking Select. The "Add Content Manager" dialog displays.
- (Optional) Enter any Comments. Any comments entered here will apply to all content records.
- Click Next. Repeat this process for each content record until the Next button is replaced with a Submit button.
Tip: Click Skip to bypass any individual content records during the submission process.

icon, a "Content Submitted" confirmation appears, and a content review jobs are revised. Revised content is automatically submitted to the content owner.
Tip: You can also select multiple content slices by using "Ctrl + Click" to select specific slices or "Shift + Click" to select a range of slices. Any unflagged slices will be ignored.
Note: If you are working with an Excel RFP, you have the option to identify the question cells that your answers belong to in the table using the Question Text Area field. For example, you can pull the title from the question X cell(s) to the Left/Up/Right/Down.

- Choose a Batch Settings option:
- Bulk: This option allows you to configure the batch settings for all the content records you wish to submit. All content records in the batch are automatically processed using these settings and submitted to the library upon clicking the Submit button.
- For any new content, select the Content Manager that will receive your new content from the dropdown menu.
- (Optional) Enter any Comments. Any comments entered here will apply to all content records.
Caution: Any revised content with no owner or multiple owners must be assigned to a Content Manager using the Individual Submission Process.
- Individual: This option allows you to walk through and review each content record in the batch before submitting. All content records are processed in one batch and submitted to the library upon clicking the Submit button.
- Click Start to begin the process of modifying the batch settings fields on a record-by-record basis.
- Depending on whether the you are modifying a new or revised content record, the process varies:
- New: See Submit new content .
- Revised: See Submit revised content .
- Bulk: This option allows you to configure the batch settings for all the content records you wish to submit. All content records in the batch are automatically processed using these settings and submitted to the library upon clicking the Submit button.
- Click Submit. All New Content

Reviewing submitted content
If you are a Content Manager, you will receive an email notification informing you that content record(s) have been submitted to the Library that includes a link to "Review Submitted Content".
- Click the "Review Submitted Content" link found in the email. You will be directed to the "Manage Content Review Jobs: Submitted to..." page.
Note: Content managers can also access content records submitted to them via the Manage content review jobs page.
