Viewing the Tenrox Modules from a Centralized Location

The Portals tab allows users access to the main Tenrox modules from a centralized location. From the Portals tab, users can view and analyze information from the following portals:

Note: From the Portals tab, the specific dashboards can also be displayed, as long as the Dashboards component is enabled and the dashboards are created and assigned to objects. For more information, see Assigning and Designing Dashboards.

Assigning Security Permissions to the Central Portals

The logged users require the appropriate security permissions to access the Central portals. The logged users are assigned rights to the appropriate Central components in their security profiles.

To add security to the Central portals:

  1. Click Setup>Organization>System and then click the Security button to open the Security page.
  2. Click a security role from the list to display the Security Profile page.
  3. Click the Management tab and then the Central subtab to display the components.
  4. Select the check boxes of the Central components that need to be assigned to the logged users' security profiles.Note: Security for the Project Central is also required to allow users to add projects to their work plans
  5. Click the Save link to save the changes.

Client Central

The Client Central portal allows users to view the summary information of selected clients, as well as perform common client-related actions, such as managing invoices and generating invoice batches. When a client is selected, the Summary page displays the client's summary information, contacts, projects, invoices, notes and documents.

To view or modify the client summary information:

  1. Click Portals>Client Central to open the Client Central page and then click a client from the list or specify the search criteria to find a specific client.Note: To search for a client, select Client Name, Client Id, Contact Name or Account Executive from the Search by list and specify the search criteria in the Search for box, then click the Find icon to display the search results and click a client to open the Summary page.
  2. From the Summary page, view or modify the selected client's information and then click Back to return to the Client Central page.
  3. Click the Refresh link to refresh any changes.
  4. Click the Multi Client Invoice Manager link to invoice multiple clients simultaneously, post and export the invoices, and search for clients using specific search criteria; for more information, see Creating, Generating, Posting and Exporting Multi-Client Invoices.
  5. Click the Invoice Manager link to create an invoice; for more information, see Invoice Setup.
  6. Click the WIP Accrual Manager to create a WIP accrual batch to process the revenue recognition transactions; for more information, see Setting Up WIP Policies (Setting up the Financials) and Setting Up and Viewing WIP Accrual Batches (Setting up the Financials).

Project Central

The Project Central portal allows users to view the summary information of selected projects, as well as perform common project-related actions, such as managing budget and assigning tasks. When a project is selected, the Project Status page displays the project's summary information, including general information, financials, forecasts and resource utilization.

To view or modify the project summary information:

  1. Click Portals>Project Central to open the Project Central page and then click a project from the list or specify the search criteria to find a specific project.Note: To search for a project, select Client Name, Portfolio Name, Project Manager, Project Name or Project Id from the Search by list and specify the search criteria in the Search for box, then click the Find icon to display the search results and click a project to open the Project Status page.
  2. From the Project Status page, view or modify the selected project's information and then click Back to return to the Project Central page. The following links can be accessed from the Project Status page:
    • Documents: allows users to attach documents to the project; for more information, see Attaching Notes and Documents
    • Notes: allows users to insert notes for the project; for more information, see Attaching Notes and Documents
    • Work Plan: commits users to the selected project, as well as displays the total number of hours that users are available, committed to other projects, and worked on the selected project
    • Details: displays the project's summary information, notes and documents, budgets and project details
    • Export to Excel: allows users to export the Project Status Report to an Excel spreadsheet
    • Project Calendar: allows users to view scheduled tasks and time off in a calendar view
  3. Click the Refresh link to refresh any changes.
  4. Click the Generic Resources to classify users as generic resources. Generic resources do not physically exist in an organization, but rather are created to specify the skills required for an assignment.Note: The generic resource functionality is supported for project-based Collaborative Workforce Planning (CWP) scheduling. For more information, see Collaborative Workforce Planning (CWP) Enhancements, Assignment Date Change Enhancements and Project Planning Tool and Tenrox CWP: Replacing Generic Resources.
  5. Click the Import Budget link to import project budgets into the Tenrox application from a predefined Excel template; for more information, see Importing a Project Budget into Tenrox.
  6. Click the Multi Client Invoice Manager link to invoice multiple clients simultaneously, post and export invoices, and search for clients using specific search criteria; for more information, see Creating, Generating, Posting and Exporting Multi-Client Invoices.
  7. Click the Invoice Manager link to create an invoice; for more information, see Setting Up Invoices.

Resource Central

The Resource Central portal allows project and resource managers to view the summary information of selected resources, as well as perform common resource-related actions, such managing skills, payroll, and leave time management, and performing statistics reviews. When a resource is selected, the Summary page displays the resource's summary information, skills set, leave time, calendar, notes and documents.

To view or modify the resource summary information:

  1. Click Portals>Resource Central to open the Resource Central page and then click a resource from the list or specify the search criteria to find a specific resource.Note: To search for a resource, select First Name, Last Name, Id or Functional Group from the Search by list and specify the search criteria in the Search for box, then click the Find icon to display the search results and click a project to open the Summary page.
  2. From the Summary page, view or modify the selected resource's information and then click Back to return to the Resource Central page.
  3. Click the Refresh link to refresh any changes.
  4. Click the Payable Batch link to generate and post the payable batches; for more information, see Expense Setup: Posting a Payable Batch and Expense Setup: Generating Payable Batches.
  5. Click the Payroll link to generate and post payroll batches; for more information, see Financials Setup: Setting Up Payroll Batches and Financials Setup: Generating Payrolls.
  6. Filter: sorts resources by the criteria specified on the User List Filter page; for more information, see User List Filtering.

Document Central

The Document Central portal provides a centralized location that allows users to quickly search, access and manage documents. From the Document Central page, documents can be associated to any organization, work or entry item, as well as to all tasks, requests, incidents, timesheets, expense reports, requisitions and business processes.

Note: The Document Central acts as a repository for all the documents in the system that have been uploaded or attached to other entries. It also includes detailed auditing to track all changes, extensive search and filtering capabilities.

To access the documents in the system:

  1. Click Portals>Document Central to open the Document Central page and then search for documents using either the Tenrox search feature or the SharePoint services.
  2. Select the Search using SharePoint services check box to search for documents using the SharePoint services or clear the check box to search for documents using the Tenrox search feature.
  • When using SharePoint services, the Site(s) to search box displays the URL of the site to be searched; to change the site, click browse button (...) and then select a different site

Note: The SharePoint Site List page displays all SharePoint sites with documents attached from the Tenrox application. The SharePoint search results can be filtered by document name and text, and results that include documents from both the Tenrox and SharePoint application.

  • When using the Tenrox search feature, only documents attached from the Tenrox application are searched.

Note: The Tenrox search results can be filtered by date, object, document name, keyword or file name.

Vendor Central

The Vendor Central portal allows purchase managers to view the summary information of selected vendors, as well as perform common vendor-related actions, such as posting payable batches. When a vendor is selected, the Summary page displays the contacts, documents and notes.

To view or modify the vendor summary information:

1. Click Portals>Vendor Central to open the Vendor Central page and then click a vendor from the list or specify the search criteria to find a specific vendor.

Note: To search for a vendor, select Vendor Name, Vendor Id or Contact Name from the Search by list and specify the search criteria in the Search for box, then click the Find icon to display the search results and click a project to open the Summary page.

2. From the Summary page, view or modify the selected vendor's information and then click Back to return to the Vendor Central page.

3. Click the Refresh link to refresh any changes.

4. Click the Payable Batch link to generate and post the payable batches; for more information, see Expense Setup: Posting a Payable Batch and Expense Setup: Generating Payable Batches.

Tag Cloud

The Tag Cloud portal allows users to view, modify or delete tags and tag associations.

Note: The Tag It option allows users to tag objects in the application and then search for the objects using the assigned tags.

To view or modify the tag or tag associations:

  1. Click Portals>Tag Cloud to open the Tag List page.
  2. Select either My tags or All tags from the Filter list to specify which tags to display.
    • My tags: displays all tags matching the search criteria having an association created by the logged user
    • All tags (default): displays all tags in the system matching the search criteria
  3. Search for the tags by selecting either Name or Created By from the Search by list and specifying the search criteria in the Search for box, then click the Find icon to display the results.
  4. Select the Display as grid check box to display the list of tags that match the criteria in a grid. If logged users do not have Delete rights to the Tags component in their security profiles, then the Display as grid check box is disabled. For more information, see System Setup: Security Setup.Note: By default, the Display as grid check box is cleared; therefore, the tags are displayed in a list. The Tags List displays the tags from left to right in ascending alphabetical order. The name of the tag is displayed as a link and when clicked it opens the Associations page.
  5. Select the tags to delete and click the Delete link, then click Yes when prompted to confirm the deletion of the selected items or click No to cancel the action.Note: The Delete link is disabled when no items are selected, logged user do not have Delete rights to the Tags component in their security profiles or the Display as grid check box is cleared.
  6. Click the Refresh link to refresh the page.
