Upland AccuRoute Server and the XeroxScan Connector

When used with an Upland AccuRoute server as a complete routing solution, the XeroxScan connector requires the use of Embedded Directives. Embedded directives bring unmatched versatility to document routing.

  • Users can scan documents with routing sheets at the network scanner. The routing sheet contains an Embedded Directive with all the required routing instructions for the scanned document. For example, a sales associate wants to send an invoice to the customer's fax number and to a supervisor's email address. The user creates a routing sheet that names both of these destinations, and then scans the routing sheet with the document on the network scanner. The network scanner copies the scan job to the scan repository, the XeroxScan connector collects the scan job from the scan repository, and the server processes and delivers the document to the customer's fax number and the supervisor's email address.

  • Network administrators can create Embedded Directives using Upland AccuRouteDesktop and create rules on the server that apply the same Embedded Directive to all documents that match the criteria specified in the rule. For example, a network administrator creates a special embedded directive that routes documents to the company's document management system. When a walk-up user selects the correct network scanning template and scans the document, the XeroxScan connector collects the document and applies the default settings, and the server applies rules to the document and associates the Embedded Directive with the document.

Note: When a user scans a document with a routing sheet, the routing sheet must be the first or last page in the scan job. If the Embedded Directive Manager component scans the first and last pages of the scanned document for the Embedded Directive ID but does not detect one, the outbound document fails.

Upland AccuRoute Fax and the XeroxScan Connector

The XeroxScan connector offers its users a user-friendly scan-to-fax solution. You can use the XeroxScan connector in conjunction with Network Fax or network scanning templates on the Xerox MFD. Using the scanner's Network Fax capabilities

When you enable Network Fax on the Xerox MFD and configure this feature for the XeroxScan connector, the user sees a Fax option on the LCD panel of the Xerox MFD. After the user selects this option, provides a fax address for the document, and scans it, the Xerox MFD saves the scanned document and the job information and sends them to the document repository. The XeroxScan connector on the Upland AccuRoute server collects the files from the document repository and allows them to enter the server.

Using network scanning templates

To set up the XeroxScan connector with network scanning templates, you or another network administrator must create a network scanning template using CentreWare Scan Services or the web-based application for the Xerox MFD. For detailed information on network scanning templates, consult the Xerox documentation for your Xerox MFD.

At the Xerox MFD, the user selects an Upland AccuRoute Fax network scanning template, enters the destination fax number, and scans the document. Then the Xerox MFD saves the scanned document and the job information and sends both files to the document repository. The XeroxScan connector on the AccuRoute Fax server collects the files from the document repository.
