Using the Public Folder Profile Management Form

You can create or modify a public folder profile by using the Public Folder Profile Management Form (PublicFolderProfileAdmin.oft file).

To create or modify a public folder profile

  1. On the system running the AccuRoute Server, navigate to the ...\Omtool\OmtoolServer\bin folder (this is the default installation location; a custom installation may have a different path).

  2. Locate and open the PublicFolderProfileAdmin.oft file.

    You can publish this form to make it easier to access in the future. If you are using Outlook 2002 or higher, the form needs to be published before being used. You can publish the form locally on your system (for example, in your personal forms library).

  3. Click Enable when the warning message about enabling macros appears (if you have published the form, this message will not appear).

  4. Click Browse next to the Select Root Folder text box and select the root public folder profile folder.

  5. Do one of the following:

    • To create a new public folder profile - Enter the name of the new profile in the text box next to the Add button and click Add. This creates a new subfolder under the root folder specified in step 4. The new folder appears in the Public Folder Profiles list box.

    • To modify an existing public folder profile - Select the profile to modify in the Public Folder Profiles list. The form displays the current settings for that profile.

  6. Under Cover Page Templates, add or remove cover page templates from the selected public folder profile:

    • To add a cover page template, enter the template file name in the Add new cover page template text box and click Add item to list.

    • To remove a template, select the template in the Cover pages defined list and click Delete item from list.

    • To make the default for this profile be to always include a cover page with a new message, select Default to use cover page templates and then select a cover page in Cover pages defined to be the default for this profile.

  7. Under PBX Dial Access Codes, add or remove access codes from the selected public folder profile:

    • To add an access code, enter the code in the Add new access code text box and click Add item to list.

    • To remove an access code, select the code in the Access codes defined list and click Delete item from list.

    • To make the default for this profile be to always include an access code with a new message, select Default to use PBX dial access codes and then select an access code in Access codes defined to be the default for this profile.

  8. Under Billing Codes, add or remove billing codes from the selected public folder profile:

    • To add a billing code, enter the code in the Add new billing code text box and click Add item to list.

    • To remove a billing code, select the code in the Billing codes defined list and click Delete item from list.

    • To make the default for this profile be to always include a billing code with a new message, select Default to use billing codes and then select a billing code in Billing codes defined to be the default for this profile.

  9. Under Delivery Options, define the default delivery options for the selected public folder profile:

    • Default to hold for preview before sending all messages - Select this option if you want all sent messages held for preview when this profile is used.

    • Default to require management approval - Select this option if you want all messages sent with a request for approval when this profile is used.
      Approval must be enabled through the Administrator. If a user requests approval for a fax but the feature is not enabled, the request is ignored. See About Fax Review and Approval.

    • Default to deliver only to secure fax destinations - Select this option if you want all messages sent with secure delivery when this profile is used.

    • Available priorities - Select each priority in this list that you want to make available to users of this profile and click Add to add it to the profile. In User Choices, select the priority you want to be the default for users of this profile.

  10. Under Notification Options, define the default options for notification of fax status:

    • Success or failure - Select this option to make the default notification option be for AccuRoute to send notification for successful or failed messages.

    •  Failure only - Select this option to set the default notification option to send notifications for failed messages only.

    • URL for delivery status  - Enter the full URL, including the "http://" of your company's Web Client, if you are using this feature. Click Test to verify that the URL is correct.

  11. Click Save.
    The settings you made are saved to the public folder you specified in step 5. Users can choose this public folder profile from the Profile tab on the AccuRoute Send Form.

Note: After creating a new public folder profile, you may need to assign users permissions to the public folders in Exchange as needed to control access to the profiles. At the very minimum, users must have read rights to the folder or folders containing the profiles they are permitted to use.  You can also use permissions to restrict users from using certain profiles. If at any time you want to revert to a profile's saved settings, click Reload. All unsaved changes are discarded.
