Frequency Manager
The Adestra Frequency Manager allows you to control the number of emails received by your contacts over a defined period of time. This can help ensure that recipients don't feel overloaded or "spammed" by the number of emails from you, which can cause disengagement. For example, you could create a restriction that limits sending contacts no more than 2 emails per week.
The system works using profiles, with rules to specify the frequency and time period in which emails are sent. The profile is then applied based on launch counts, using the sent events logged for each contact. Contacts who exceed the rule limitations will be suppressed from that launch. This can be applied across your entire account, or can be limited to particular workspaces.
You can access the interface via the 'Admin' pages, using the 'Frequency Manager' tab.

Create Profile
To create a new profile, click the 'Create Profile' link.
Name
The name of the profile. This does not have to be unique but it is worth making it recognisable, as this will be used throughout the system to refer to the profile. For example, profiles are selected in the Campaign Launch by name.
Description
The description can contain any additional information you like.
Limit this profile
It is possible to limit a profile so that is it only available within a single workspace. Selecting this option will allow you to choose the relevant workspace.
Profile Type
A profile can either be restricted or unrestricted, and by default new profiles will be restricted.
Restricted
A restricted profile applies the frequency rules by counting the number of sent events from launches that are assigned to the same profile. This means that event data from other launches within your account not assigned to this profile will not be used.
Because restricted launch frequency profiles only take into account other launches that are sent using that profile when calculating frequencies, newly-created profiles will only take effect after some launches have been done.
Unrestricted
An unrestricted profile counts the number of sent events across all launches within your account.
Click 'Save' to create the profile.
Launch Frequency Rules
The next step is to create the launch frequency rules for the profile. You can add up to 5 per profile.
To create a new rule, click on the 'Create Rule' link.
Create Rule
Interval
The interval you select for a rule is the time period over which the rule will apply. For example if you want the rule to apply per day, you would enter '1' and select 'Days' from the drop-down menu.
Maximum Emails
You then need to specify the maximum number of emails contacts will receive within the defined interval.
Click 'Save' and the rule will be displayed in the 'Launch Frequency Rules' list.
Delete Rules
You can delete a rule by selecting it in the list and then clicking the 'Remove Selected' button.
Delete Profile
You can delete a profile using the 'Delete Profile' button.
Note: if a profile is deleted after launches have been assigned to it, the profile settings that were applied will still be visible in the launch pages.
Once you have configured the profile, it can be enabled for launches during the campaign Setup Launch process.
Applying Profiles
Frequency Profiles can be applied to campaigns at the bottom of the options form or before launch.
Campaign Options
You can apply a Frequency Profile using the drop down menu in the Campaign Options form.
Note: If a profile is selected here, the option will become unavailable when setting the campaign for launch.
Campaign Launch
Frequency profiles are applied to launches via the 'Setup Launch' page.
If there are profiles available, the launch page will display the Frequency Suppression section.
Note: If there are no profiles available for the workspace, this section will not be displayed.
When enabled, a profile can be selected for the launch.
The frequency profile may be set by default for your account, meaning a profile cannot be selected at this stage. If so, the 'Campaign Details' section of the launch page will include an additional field, indicating which profile will be applied to that launch.
Reporting
The Campaign Report shows the delivery statistics for your campaigns, and within this, frequency suppression falls under the 'Not Attempted' statistic which you can view in the Summary. Clicking the 'detail...' link in this section will display the 'Suppressed Frequency' count.
When viewing an individual launch, you will be able to see which, if any, frequency profile was applied.
You can click the profile name to see the details and frequency rules. Even if the frequency profile is later deleted, the launch information page will still show details for the profile applied to the launch.
