Multi-Vote step

A Multi-Vote step is used to assign a document to multiple users. Each user will have two task buttons available "Yes" and "No". These buttons are their votes for the step. The system will record their votes to determine which connection the document will follow when the voting is complete. You can specify a completion percentage while configuring the step. The route a document will take can be determined based on the voting results. You can set the step to wait to receive votes from all users or automatically route the document when the completion percentage has been met.

Pros: 

  • Awaits on a percentage of responses before moving on.
  • Multiple users need to review and either approve or reject the document.
  • A group can be assigned to the task.

Cons:

  • Escalations are not available.
  • The document cannot be locked to a user.

Available Connections

The Multi-Vote Step stencil has four connection points, one on each side of the stencil. These connection points are used to establish incoming and outgoing connections. There is no limit on number of incoming connections that can be established on a Multi-Vote Step stencil. However, there can be only two outgoing connections from a Multi-Vote Step stencil, "Yes" and "No". Based on the results of the conditions set for the stencil, a document will take the appropriate connection.

User Assignment

The Multi-Vote step allows multiple users, a group of users, multiple groups of users, or any combination to be assigned to the step.

When a group is selected, a document assigned to the step is assigned to all the users belonging to that group. The document will be listed on the Assignment page of all users belonging to the group.

Configuration

  1. To access stencil properties, in the Diagram pane of the Workflow Designer, perform one of the following:

    • Double-click a Multi-Vote stencil.
    • Right-click a Multi-Vote stencil and select Properties.
    • Select a Multi-Vote stencil and press the F4 keyboard shortcut.
  2. On the Step Information tab, specify information for the step. There are four unique settings on the Step Information tab for a Multi-Vote step. These settings are:

    • Wait for All Votes: When the Wait For All Votes option is selected, the system waits until all users have provided their vote. Once all users have provided their vote, the result will be calculated and the document will be sent down the appropriate connection. If the option is not selected, each time a user votes, the system determines if the vote can pass or fail by comparing the number of votes received to the total number of potential votes. Once enough votes have been received to determine a majority vote of either 'Yes' or 'No', the document will be sent down the appropriate connection. In this situation, it is possible that a user may not get a chance to vote.
    • Complete Percent needed to advance to the next step: The percentage of 'Yes' votes that are needed for the document to be sent down the 'Yes' connection. If the number of 'Yes' votes is not equal to or more than this percentage, the document will be sent down the 'No' connection.
    • Approve Label: The label that will be displayed for the 'Yes' vote.
    • Reject Label: The label that will be displayed for the 'No' vote.

  4. On the Assign to User tab, select an option from the List Mode list. the following options are available:

    • Preconfigured user list: Allows you to specify the users or groups that will be available for selection.
    • Runtime pick list: Makes all the users and group available for selection.
