About FileBound Connector

To set up a default profile for the FileBound connector

1. Inside the Server Administrator, select Connectors.

2. Select FileBound on the Server in the Details pane if necessary. The FileBound on the Server Properties dialog box appears.

3. Select the Advanced tab.

4. In the Default Profile Information section, select the Create button. The Profile to FileBound wizard appears.

5. Choose a FileBound project and select Next.

6. Use the Create New File default option or select Add to existing File.

Note: If the Add to existing file option is selected then you will need to specify your search parameters, find and select the appropriate file.

7. Select Next.

8. Type the appropriate information in the File field boxes and select Next.

9. Specify the following delivery details.

   • Document Name

   • Choose a separator from the Separator drop-down list or specify a new one in the box.

   • Choose a divider from the Divider drop-down list or specify a new one in the box.

   • Type additional information in the Notes box.

10. Select Finish.

A default profile is created and can be used by the Server RuleSets engine. See About RuleSets for information on configuring rules.

With the FileBound connector, you can enable access for AccuRoute Desktop users in the Administrator Group Properties, as with other DMS providers.

Note: AccuRoute Desktop users need to add the FileBound connector as a recipient.

To add the FileBound connector as a Desktop recipient

1. Open AccuRoute Desktop.

2. Select Tools > Configure DMS > FileBound. The Configure FileBound dialog box appears.

3. Type the same credentials (Rest EndPoint URL and associated Username and Password) used in the Creating and configuring the FileBound steps listed above.

4. Select OK to finish.

Line items are multiple values of information related to a FileBound project that are mapped in the AccuRoute server. The server supports sending line items to the FileBound DMS.

Line item data can be generated by:

• AccuRoute CX

• Forms Data Extraction

• Manually providing values in AccuRoute Queue Desktop

Note: A main project and line items project must be created and linked in FileBound.

AccuRoute manages line items data in a Table property. The Table property must be configured with the job properties that will be stored in the FileBound line items project. The job properties names must match the FileBound line items field names.

To create line items (Job Properties)

1. In the Server Administrator, expand Configuration and select Job Properties.

2. Right-click User.

3. Select New > Job Property. The Job Property dialog box appears.

4. Type a name in the Name box.

5. Ensure Single - valued property is selected.

6. Select OK.

To add line items to a Table property

Note: The name of the Table Property must match the name of the FileBound line items project.

1. In the Server Administrator, expand Configuration and select Job properties.
2. Right-click User.
3. Select New > Job Property.
4. Specify a name in the Name box. Use the same name as that of the FileBound project.
5. Select Table property and select Add. The Select Job Property dialog box appears.
6. Find the User category and select the appropriate line items.
7. Select OK on the Select Job Property dialog box.
8. Select OK on the Job Property dialog box.

Note: The FileBound line items and AccuRoute table property configuration do not require a 1-to-1 relationship.   FileBound fields not in the AccuRoute table and AccuRoute table properties not configured in FileBound line items project will be ignored. To use the table property in AccuRoute Queue Desktop it must be indexed on the Active Volume list. The line item properties do not need to be indexed.

Administrators create a queue by email address and a rule to route messages from the email address to the queue.

To configure AccuRoute Queue Desktop by selecting FileBound as a destination

1. In the Server Administrator, right-click Queues.

2. Select New > Queue.

3. Specify a name for the queue in the Name box.

4. Specify an email address in the Email box.

5. Select the Destination tab and choose FileBound via FileBound on the Server from the Route to drop-down list.

6. Select Configure. The Profile to FileBound wizard appears.

7. Choose a FileBound project and ensure Create New File is selected.

8. Select Next.

9. Type the appropriate information in the File Fields boxes.

10. Select Next.

Note: These values will get overwritten by the choices made in AccuRoute Queue Desktop.

11. Type or select the appropriate Delivery Details which may include additional parameters like separator, divider, and notes.

12. Select Finish.

13. Select the Workflow tab. The Queue Workflow Rules Properties dialog box appears.

14. Select Add.

15. Type a description in the Descriptionbox and select Add to define criteria.

16. Select Released by Queue operator.

17. Select Next. Ensure the following options are selected.

    • The job is

    • Released by Anyone

18. Select Finish.
    

19. Select Configure to define the workflow action.

20. Select Automatically Route.

21. Select Next. The following message appears: The job will be automatically routed to the queue's default destination.
    

22. Select Finish.

23. Select OK on the Queue Workflow Rules Properties dialog box.

24. Select the Properties tab.

25. Select Add to add the appropriate properties including the Table property. The Required Metadata Properties dialog box appears.

26. In the Property text box, type a value or use the Ellipsis (...) button to find your job and table properties.

27. Select OK on the Required Metadata Properties dialog box. Repeat Steps 25-27 until you have added the appropriate properties.

28. Select OK on the Queue Properties dialog box.

Note: In the Server Administrator, use Groups > Queue Access to give users access to the queue.

Queue users can send line items to FileBound using AccuRoute Queue Desktop by specifying the appropriate values.

To send a job using AccuRoute Queue Desktop

1. Open AccuRoute Queue Desktop.

2. Select New Items if necessary.

3. Select a job. The Edit Data dialog box appears.

4. Type the appropriate values in the boxes.

5. Select Add Item

6. Type the appropriate values in the boxes.

7. Select Apply and close the dialog box.

8. Select Release to send the file to FileBound.

Search is a simple and primary function that you can perform in FileBound. Search allows you to retrieve and view content and data quickly. You can use the Project search to search for files within a specific project or use the Global search to search across all projects.

To use the search functionality, you must be assigned to a group that has the "File Search" file right for all or specific projects.

Document Profiling also known as Document Tagging is a feature that helps users access and retrieve documents stored in a document management system (DMS). A document profile specifies the DMS location, format, and metadata for delivery, identification, and searching purposes.

Job Properties

A FileBound project consists of job properties that are automatically created after setting up a default profile. The job properties are based on information defined in FileBound.

RuleSets

The FileBound connector has a default Route to Connector rule that is used to deliver messages to FileBound in a PDF format. Administrators can create additional routing rules based on their workflow requirements. Contact your Account Manager or Technical Support for further assistance.
