Creating a My Files Distribution

You can create, convert a document's final form for distribution, and save routing sheets for reuse by using Preferences or My Files.

To create a routing sheet that will send a scan to your My Files folder

  1. Open WebApps from your browser.

  2. Click Preferences. The Preferences page appears.

  3. Select Create My Files Distribution. The Create My Files Distribution page appears.

  4. Type a descriptive name for the routing sheet and its content in the Document Name box.

  5. Select a distribution format on the Final Form drop-down list.

  6. Select the Routing Sheet button on the toolbar. The routing sheet is downloaded.

  7. Open the routing sheet and print.

Note: The user's name appears next to the Scan to My Files heading. It has been omitted in the example above intentionally.

  1. Close the routing sheet, if necessary.

  2. Place the routing sheet on top of the document and then scan or fax at the device.

  3. Click Save to save the routing sheet for reuse, if necessary.

Note: My Files Distribution routing sheets are saved in My Files and can be reused by selecting My Files > Options. The routing sheet remains in Options until you save another routing sheet. The new routing sheet replaces the one that was previously saved.

  1. Click Close.

Note: If you select a DOC, RTF, or TXT format, the server converts any image files so they are editable and searchable. PDF Image+Text and PDF Text are also searchable. PDF Image formats are not searchable. Options that display the letters OCR indicate the system will perform optical character recognition. This means the server will read the scan and determine how letters and characters translate to text. Handwritten text is not recognized but will remain a part of your document as an image.
