Create a Workforce Planning Notification

This article details how to create a Workforce Planning Notification.

  1. From the Icon Bar click Setup .
  2. From the Navigation Menu click Notifications to access the Notification List page.

    Note: By default System Notifications is selected.

  3. From the Notification Type options, select Workforce Planning Notifications.
  4. From the Workforce Planning Notifications List page click the New button.
  5. Enter the Required Information:
    1. Name *: The default subject line of the notification. The Title box allows you to give the recipient an idea of the topic of your notification, like a heading.
    2. Subject *: The Subject box allows you to give the recipient an idea of the topic of your notification, like a heading.
    3. Language: English is selected by default. You can enter a Title, Subject and Message for each language (English and French).
    4. From the Actions* selection list choose the action(s) which will trigger the notification:
      1. Select all
      2. Allocated on a Project
      3. Booked on a Project
      4. Allocations removed
      5. Bookings Removed
    5. From the Associated Projects section select :
      1. All Projects selection box
        Or
      2. Click the Selected Projects browse button to choose the required projects from the Project List.
    6. Select the Suspend Notification box to suspend the notifications.
    7. Message:* Enter the required message within the Message box.

      You can customize the message body using the Rich Text Editor. For formatting options and features, see Rich Text Editor.

      To insert parameters, simply type the percentage sign (%) which triggers a suggested list of available Parameter(s). As you type, the list is filtered to narrow down the options, allowing you to pick and insert the required Parameter into your Message body. For a complete list of available parameters refer to Workforce Planning Notification Parameters.

      Note: When applying formatting to Parameters, the entire parameter name including percentage signs (%) must be formatted.

  6. Click Save to apply your changes.
  7. Upon Saving, the Recipients and Criteria tabs will then be available to you.
  8. Navigate to the Recipients tab where you can define which users receive the notification.
  9. Click New to start the process of creating a Recipient.
  10. Select a Message Type from the following available options: To, Cc and Bcc.
  11. Then click the Notify list and choose one of these options. Note that depending on your selection, additional fields may be displayed.
    1. Project Manager: When selected, the notification will be sent to the respective Project Manager.
    2. Group Manager: When selected, a new Select Group box is displayed. Clicking the Select Group browse button opens the Group List page where you can select the required Groups.

      Note: Suspended Groups are hidden by default on the Groups List page, allowing you to focus on active groups. If needed, you can check the Show Suspended Groups box to display the suspended Groups. In this case, they will appear in red and will be non-selectable.

    3. User: When selected, the With box is displayed. The 'With' field has the following options:
      1. Name: When selected, you can click the browse button to open the User List page where you can make a selection from the available Users. Selected Users will receive the notification.
      2. Title: When selected, you can click the browse button to open the Title List page where you can make a selection from the available Titles. Users with the selected title receive the notification.
    4. Custom: Selecting Custom allows you to enter a recipient Email address and choose the required Language.
    5. Booked User: When selected, the notification is sent to the respective Booked User.
    6. Resource Manager: When selected, the notification is sent to the respective Resource Manager.
    7. Functional Manager: When selected, the notification is sent to the respective Functional Manager.
    8. Portfolio Manager: When selected, the notification is sent to the respective Portfolio Manager.
  12. Click Save to apply your changes.

    Click the Save & New button to save your changes and immortality open the New Recipient dialog box, ready for an entirely new entry, with the options and boxes reverting to default values.
  13. Navigate to the Criteria tab. From this tab, you can configure detailed conditions that define if and when a notification should be sent. This setup allows you to customize notifications to trigger only when specified criteria are met, ensuring that alerts are delivered in relevant situations and reducing unnecessary notifications.
  14. Click Back to return to the previous page.
