Getting started with AI Assist

Qvidian’s AI powered cloud platform makes proposal creation feel faster and more dynamic. With AI Assist, you can instantly refine and rewrite content, search and analyze files with ease, and run AutoFill directly in Word, Excel, and Qvidian for Office and Web to generate answers from your trusted library. You can guide tone, reading level, and terminology to shape responses that fit your exact needs using clear rules. The result is a streamlined, energized workflow that helps every proposal stand out.

File Query

Kick-off your project by running file queries against your proposal documents to pull key information, like important dates and clauses.

Note: Before you run a File Query, you must create a project and load a file to the Instructions and Related Files section or load a questionnaire.

File Analyzer

Take your file queries further with File Analyzer. You can string multiple prompts together to create a File Analysis Action to run against a file loaded to your project.

Note: At least one File Analysis Action must be created to display the "Analyze File with AI Assist" option.

AI in Autofill

Take your Autofill results further if the suggested results do not adequately answer your questions. AI Assist in Autofill works seamlessly to provide additional options using AI to generate a new answer or suggest five answers from the library in addition to a new AI generated answer. You can even view the sources in the library that AI Assist used to generate the new answer.

Revise answers

If you already have answers populated but want to improve them, you can revise with AI Assist. This can be done by revising and rewriting answers for tone, grammar, length, or even by using the question as context to improve the generated content. Our generative AI tools use already existing content to generate revised responses, increasing accuracy and decreasing the need for additional reviews. AI Assist provides suggested prompts, or create your own unique prompts.

Tip: Revising answers in a sliced RFP Project is not the only place to rewrite content using AI Assist. You can also revise content using AI Assist in Qvidian for Office or Web.Use AI Assist in Qvidian for Office to edit any content, whether within a project or as a separate file.

Admin Considerations

Tone and Terms

Gain greater control over your AI-generated answers by using the Tone and Terms admin page to adjust tone of voice, reading level, term replacements, and specify terms to avoid when running AutoFill or using AI Assist. Administrators can create and test customized corporate tones and term sets for different user roles on this page.

AI Assist Usage Dashboard

Following user adoption of AI Assist, administrators should utilize the AI Assist Usage dashboard to oversee all AI-related operations within the Qvidian environment. This interface provides comprehensive information regarding purchased token packages, including details on token consumption and availability. The usage data grid can be refined by user, date, and additional criteria, allowing for targeted analysis. Administrators are also able to monitor AI Assist activities by reviewing user-generated prompts.

As an Admin, you may want further information on facilitating your users' access to Qvidian’s AI Assist.
