Distributing Outlook Local Profiles

When you want to distribute local profiles to users in your messaging environment, you can send them an email message with their local profile attached.

Providing users with helpful information about their profiles

You may want to include some general information about local profiles that will help Outlook users become familiar with using their profile, such as a brief description of a local profile and instructions on copying the profile into the appropriate folder in Outlook.

Additionally, the users should be familiar with the following concepts:

  • When users send a message using the AccuRoute Send Form, a folder is created in Outlook called AccuRoute Profiles with a subfolder named Fax Profile. The Fax Profile folder contains a message item that holds the profile options. The AccuRoute Send Form displays these options in the drop-down lists on the Options tab.

  • If the AccuRoute Profiles or Fax Profile folders are accidentally deleted, they are automatically re-created the next time the user opens the AccuRoute Send Form, but the list of profile options will be empty. Users must add the options again.

  • When users receive the list of options from you (the administrator), they need to move the entire message from their Inbox to the Fax Profile folder in Outlook. If they haven't opened the AccuRoute Send Form yet, the folder will not have been created yet.

Distributing local profiles to users

  1. In Outlook, click Folders List icon at the bottom of the Navigation pane to make the folders list visible if it not visible.

  2. Expand the AccuRoute Profiles folder and select the Fax Profile folder, or open the folder in which you stored the local profiles after creating them.

  3. Open the profile message you want to distribute and copy all of the text in the message.

Note: Forwarding the profile message will not work because the subject line must be "AccuRoute Profile," and forwarding the message makes the subject line "FW: AccuRoute Profile." Additionally,  if Outlook is configured to insert markings on forwarded text (such as >), those characters will appear as part of the properties of the local profile, and the options may not work. For example, a cover page called >cover1 is not the same as cover1.

  1. Click New to create a new email message.

  2. In the Subject text box, enter AccuRoute Profile. Enter the subject line exactly as shown here. It is case-sensitive.

  3. Paste the copied profile text into the body of the new message.

  4. In the Address text box, enter email address of the users to whom you want to give these options.

  5. Click Send.

Tip: When users receive the profile message, they only need to copy the email from the Inbox into their Fax Profile folder, located under the AccuRoute Profiles folder in their Outlook folders list.
