Web Forms

Web forms are created using the FileBound Form Designer. Creating a web form does not require knowledge of HTML. Form elements are simply added using a drag-and-drop operation. These web forms are intended to be used and hosted within FileBound. See The Form Designer for more information.

Web forms can be used as:

  • Submission forms: A submission form type allow users to provide new information on the form that can be used to create a new file in FileBound. Submission forms can be created in HTML and PDF formats. These forms are available in the Forms Portal and Forms menu of a FileBound site.

    Note: Submission forms are not available in the viewers or generated in a workflow process.

  • View/Edit Forms: View/Edit forms are tied to web submission forms and allow users to only view and edit information available on the submitted form. Users are able to update and add new information to the form when it is displayed in a viewer. View/Edit forms can be created in HTML and PDF formats. These forms are available in the viewers and in workflow processes.

Add a new web form

  1. On the Navigation menu, click Administration, then click Projects.
  2. Click Edit next to the project you want to add a new web form for.
  3. Select Forms from the Configuration list.
  4. Click the Web Forms tab.
  5. Click Add.

  6. In the New/Import Form window, type the name of the form in the Form Name box.
  7. Select the type of form in the Usage list. The following options are available: 

    • Submission: Users can provide new information on the web form that can be used to create a new file in FileBound.
    • View / Edit: Users can view and edit information available on the web form.
    • Success Page: A separate page that can be displayed after a form has been submitted from the Forms Portal or Forms menu. See Success pages for more information.
    • Control Form: Allows you to quickly create a parent form with one or more form link controls. See Control forms for more information.
  8. Select an option in the Layout list. The following options are available: 

    • Regular: Prevents a web form from resizing its height and width based on the screen size of the viewing devices.
    • Responsive: Allows a web form to resize its height and width based on the screen size of the viewing devices.
  9. Click Next.

  10. Select a template or select Blank to start with a blank form, and then click Done.

    To upload a PDF, select a blank template. See Upload a fillable PDF form for more information.

  11. Click Save to save the web form.

Upload an existing form

  1. Click Add.

  2. In the New/Import Form window, click Upload.

  3. Click Browse to locate the form you want to upload or move the form to the upload area using a drag-and-drop operation.

  4. Click Done.

Edit a web form

  1. Click Design next to the web form you want to edit to open it in the Form Designer.

Edit web form settings

Once a web form has been created, the settings can be configured.

  1. Click Edit next to the web form you want to edit settings for.

    If the Form Designer is already open, click Form Settings to edit web form settings.

View form revisions

  1. Click Revisions next to the web form you want to view revisions for.

Version: Every time that a form is saved or published, a new version is created. You can think of each version as being its own form. New forms are generated in the latest version of the form. Like workflow versioning, forms that are generated in a particular version of a form are retained in that version.

There are two types of versions:

Date: The date and time the form version was created.

Was Published: If a checkmark is present, the form has been published at some point. An unpublished form is not available during a project export.

Hidden:Select this check box to hide the form. The form will not appear to users and new forms cannot be generated. A hidden form is not available during a project export.

Current Docs: The number of documents associated with the form ID.

Display Name: The name that the form is displayed as within FileBound.

ID: A unique identification number for the form. This ID is automatically assigned by FileBound.

Notes:  Click in this field to add notes applicable to the form version.

Download a web form

Download the current version of a form

  1. Click Download.

  2. Select the check box next to the web form you want to download, then click Download.

  3. In the Save As dialog box, select a location to save the form, then click Save.

Download a previous version of a form

  1. Click Revisions next to the web form you want to download.

  2. Click Download.

  3. Select the check box next to the web form version you want to download, then click Download.

  4. In the Save As dialog box, select a location to save the form, then click Save.

Delete a web form

If a web form is deleted from a project, all documents that have been created from the form will still be available.
  1. Click Delete next to the web form you want to delete.

  2. Click Yes to confirm the deletion.

Delete multiple web forms

  1. Click Delete.

  2. Select the check box next to the web form(s) you want to delete, then click Delete.

  3. Click Yes to confirm the deletion.

Refresh Web Forms page

To ensure that your Web Forms page is up to date, you can refresh it.

  1. Click Refresh.
