Timesheet Template – General Tab
This article details the timesheet options available in the General tab of the Timesheet Template Edit page.
Caution: This article applies to the new My Timesheet experience.
Available options
The following options are available through the General tab within a Timesheet Template Edit page:
- Name: Name of the template.
- ID: Distinct ID of the timesheet. Used for your company-internal purposes, i.e., if you use employee numbers or some other meaningful piece of data, feel free to place it here should you wish.
- Start Date: First day of your timesheet in which users are able to log time. Influenced by other factors, such as if you are on a Weekly Period type and your work week starts on Monday, Day 1 on the timesheet is a Monday.
- Period Type: The template period type: the options available are Weekly, Bi-weekly, Monthly and Semi-monthly. By default, a weekly period is selected. Note that the Period Type setting can be changed on the fly if required, or another Period Type can be assigned to, say, a part-time employee with no unforeseen consequences for your other users.
- Hours per day: The default number of hours per day, used for the Day and Percentage Time entry units.
- Timesheet Workflow: Selects the default timesheet workflow to use for the timesheet, and is a required field.
- Leave Request Workflow: Selects the default Leave Request Workflow to be used for the chosen Timesheet template, and is a required field.
- Default Report Template: Selects the default timesheet report to be displayed at view time. Through the report designer it is also possible to define which Timesheet template(s) the report is available from.
- Density: The default Density view setting. Comfortable is selected by default. Options include:
- Default
- Comfortable
- Compact
Note: Users can override this default setting from their Timesheet Display Settings (Does not apply to the legacy My Timesheet).
- To pin the Assignment Details or Time Entry Details panel open on a specific tab: Select Pin the right panel on and choose one of the following tabs from the available options. The selected panel/tab will be pinned and shown by default when Users assigned to the Timesheet Template access their Timesheet.
- Assignment Details – Notes: Displays the Notes tab under Assignment Details by default.
- Assignment Details – Details: Displays the Details tab under Assignment Details by default.
- Assignment Details – KPIs: Displays the KPIs tab under Assignment Details by default.
- Assignment Details – Planned Hours: Displays the Planned Hours tab under Assignment Details by default.
Note: The Planned Hours tab is visible only when the Show Summary option is enabled and the Planned Hours Summary Field is added to the Timesheet Template. For further details refer to Adding/Editing/Removing Summary Fields from a Timesheet Template.
- Time Entry Details – Notes: Displays the Notes tab under Time Entry Details by default.
- Time Entry Details – Details: Displays the Details tab under Time Entry Details by default.
- Assignment Details – Notes: Displays the Notes tab under Assignment Details by default.
- Is Default: If you edit a non-default template and set it as the new default, when you save, the current ('old') default template has the Is Default option unchecked.
Note:
- You must always have a default template. To ensure this, once a default template is created, the Is Default option becomes unavailable; If the Is Default option is not selected, the selection box remains available.
- A warning message displays upon choosing a new Default Timesheet Template if the Start Date falls on a different day of the week than the previous Default Template's Start Date.
- Suspend: When a template is suspended:
- You can no longer assign or modify an assignment as the Add and Edit buttons in the Assignments tab are no longer active.
- No new Timesheets can be created using a suspended Template.
- If you suspend a Template, any timesheet that was already initiated, regardless of its current Workflow State, will continue to use the suspended template (A Timesheet instance is initiated when the Timesheet is accessed).
- Suspended templates are displayed in red within the Timesheet Templates list page.
- Suspended Templates are excluded from the list of templates within the Close/Reopen Period dialog box.
Note:
- A Template with an Assignment End Date in the future cannot be suspended.
- The Default and Suspend settings are mutually exclusive.
- Enter a short description or any comments in the Description box.
